Overview

Timely and accurate processing of documents received by mail and/or electronic upload for the SGWS and other departments within established guidelines.

Primary Responsibilities Scan all documents received and processed by SGWS and all divisionsIndex (early archiving) all invoices into a proper workflowPrepare documents for late archiving/scanning for Accounts Payable, Inventory Costing, General Ledger, and Supplier billing departmentsEnsures that all W-9's (Independent contractor tax forms) are scanned and linked to a vendor numberOperate data capture technology to import digitized documents into the document management systemMake corrections to scanned images as requiredSupport internal and external audit activities, as required, to ensure that auditors are provided with the necessary information to complete their audits timelyOpen, sort, and stamp incoming mail, and mail out Payable Account checksPrint and mail Supplier Billing invoices and statementsPerform filing duties, which may include 'purging' and archiving old documentsMaintain electronically transmitted supplier s credits/invoicesPerform other job-related duties as assignedMinimum Qualifications High school diploma or equivalency plus 1-year experienceAt least 2-5 years of Data Entry environmentExcellent interpersonal, customer service, analytical/problem solving, problem management, presentation development, presentation, and communications skillsKnowledge and experience with an Imaging SystemKnowledge of standard Document Management concepts, practices, and proceduresPhysical Demands Physical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machinePhysical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stoopingMay require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbsEEO Statement
