Job Description

The Document Controller is responsible for managing, organizing, and maintaining all project documentation in compliance with the consultant's and client’s quality standards and procedures. Working as part of the supervision consultant’s team, the Document Controller ensures timely receipt, distribution, and proper filing of project documents, including drawings, submittals, correspondence, RFIs, reports, and approvals. The role supports project engineers, resident engineers, and project managers by maintaining document traceability and ensuring smooth communication flow between all stakeholders.

Job Duties:

Receive, register, log, and distribute incoming and outgoing documents such as drawings, submittals, RFIs, correspondence, site instructions, and approvals.Ensure all project documentation is filed and archived according to established procedures and quality standards (electronic and hard copy).Track the status of submitted documents and ensure timely follow-up for outstanding actions or approvals.Maintain an up-to-date document control register and ensure that only the latest approved versions of documents are used and distributed.Coordinate with the contractor’s document control team to ensure alignment in submittal protocols and formats.Support the supervision team (engineers, RE, PM) with documentation requirements and retrieval of project records when needed.Implement naming conventions, document numbering systems, and control mechanisms as per the project document control procedure.Generate periodic document logs and reports for internal and client use.Handle the secure storage and confidential handling of sensitive information.Assist in preparing handover documentation and final project close-out records.

QualificationsProven work experience as a Document Controller or in a similar roleExcellent communication and interpersonal skillsProficiency in SharePoint, MS Office, and MS ExcelFamiliarity with document management software and Common Data EnvironmentsStrong knowledge of document control best practices and standardsProficient typing and editing skills with meticulous attention to detailExceptional data organization and time management skillsAnalytical mindset with strong problem-solving abilitiesAbility to work collaboratively in a fast-paced environmentUnderstanding of document lifecycle managementFamiliarity with project management methodologiesAbility to maintain confidentiality and handle sensitive informationAdaptability to learn and implement new technologies and processes
