Work Experience
Background:
The Document Controller is responsible for managing, organizing, and maintaining all technical and operational documentation related to the Plant Reliability Department. This role ensures that all documents are accurately recorded, updated, and accessible to authorized personnel while maintaining compliance with company policies and industry standards.
Roles & Responsibilities:
Document Management:
Maintain and control all technical documents, including maintenance procedures, reliability reports, equipment manuals, inspection records, and engineering drawings. Ensure proper version control, classification, and indexing of documents for easy retrieval. Update and distribute documents as per revision protocols and approval workflows. Compliance & Quality Assurance:Ensure all documentation complies with company standards, regulatory requirements (e.g., ISO, OSHA, API), and industry best practices. Support internal and external audits by providing accurate and upto date records. Maintain confidentiality and security of sensitive documents.Coordination & Communication:
Liaise with engineers, reliability specialists, maintenance teams, and external vendors to collect, verify, and file relevant documents. Distribute approved documents to relevant stakeholders and ensure obsolete documents are archived or disposed of properly. Assist in preparing reports, presentations, and dashboards related to plant reliability metrics.Digital & Physical Records Management:
Utilize document management systems (e.g., SharePoint, SAP, Documentum) to store and track electronic files. Organize and maintain physical filing systems as needed. Ensure backup and disaster recovery protocols for critical documents.Continuous Improvement:
Recommend improvements to document control processes for efficiency and accuracy. Train team members on document control procedures and system usage.Work Experience
Required Qualifications & Competencies:
Diploma or degree in Engineering, Information Management, Business Administration, or related field. 5+ years in document control, preferably in oil & gas, manufacturing, or heavy industries.Strong organizational and document management skills.Proficient in document control software and systems (e.g., Aconex, SharePoint, SAP, EDMS).Knowledge of ISO 9001 and ISO 55000 (asset management) standards.Understanding of maintenance documentation such as P&IDs, maintenance work orders, and inspection/test records.Excellent communication in English; Arabic language skills are a plus.Ability to handle confidential information and maintain data integrity.
