We are looking for an experienced and detail-oriented Document Controller to support our infrastructure projects. This role combines hands-on document control for one assigned project in Taoyuan with a central support function to assist other project teams during peak periods and contribute to process improvements. The Document Controller will ensure documentation is managed efficiently, accurately, and in full compliance with Siemens standards and contractual requirements. The position is based in Taipei, with regular travel to Taoyuan and occasional travel to sites in Taipei and Kaohsiung.
Responsibilities: 1. Project-Based Document Control: Serve as the dedicated Document Controller for a selected project in Taoyuan.Plan, monitor, and report on all document-related activities.Coordinate with project managers, engineers, and departments to ensure timely submission, review, approval, and distribution of documents.Manage the complete document lifecycle including version control, deadline tracking, retention schedules, and archiving.Maintain and update the project's Document Management Plan.Perform formal checks, manage translations, and prepare both soft and hard copy submissions.Handle correspondence control, including tracking of incoming/outgoing letters and proper archiving in SharePoint or other designated systems.2. Centralized Document Control Support:Assist in developing and maintaining standardized document control processes across all projects.Provide support for document workflows, dashboards, and reporting tools.Serve as a central contact point for document control-related coordination and inquiries.Ensure compliance with Siemens internal standards and external contractual documentation requirements.3. Support and Training: Provide training and daily support to project teams and document controllers on document control systems and best practices.Assist during peak periods by taking on project document control tasks to ensure smooth execution.4. Process Improvement: Support the continuous improvement of document control processes to enhance efficiency and quality.Contribute to digitalization and standardization initiatives across the department.Promote best practices in document control within and across projects.
Requirements: Bachelor's degree in Project Management, Business Administration, Engineering, or a related field.Minimum 10 years of total work experience, with at least 5 years in document control for public infrastructure or government construction projects.Experience in metro or railway projects is highly preferred.Familiarity with turnkey projects or PCM (Project and Construction Management) roles is a plus.Strong knowledge of document control systems and tools (e.g., SharePoint, Aconex).Excellent organizational and communication skills.Ability to work independently and collaboratively across functions.Fluent in both English and Mandarin, with strong writing skills.Proficient in MS Office (Word, Excel, PowerPoint).Highly self-organized, deadline-driven, and committed to document quality.
