Contact Person: Janna Peebles - (850) 717-2702. JOB DESCRIPTION: This position is a Special Project Manager. Manage processes and information related to all special projects within the agency, as established by the Secretary and Chief of Staff. + Develop project plans, timelines, and milestones while monitoring progress and adjusting strategies as needed. + Prepare and present reports on project status, performance metrics, and key findings to stakeholders. + Identify and mitigate risks associated with projects, ensuring successful outcomes. + Analyze project performance using defined measures and implement best practices to drive innovation and process improvement . + Support project planning and maintain project documentation from project inception to completion. + Utilize technology and other tools as needed to promote efficiencies and timely and accurate information for the project. + Collaborate with cross-functional teams and subject matter experts to identify and develop process changes and ensure seamless execution of projects. + Ensures compliance with policies, procedures, and rules. Conduct complex management studies. Develop detailed project plans, and business rules. Provide oversight of project analysis documentation, processes, and procedures. Analyze and interpret project and performance data. Review department practices to enhance delivery methods, including assessing organizational and service delivery issues. Identify problem areas, make improvement recommendations, and implement approved recommendations. Liaison with the Office of the Secretary, executive leadership team, bureaus, offices, and regional units. Identifies difficulties hindering the accomplishment of objects and determines procedures to be followed to ensure intended outcome. Ensures timely and accurate verbal and written communication with team members, project leads, Deputy Chief of Staff, Deputy Secretaries, Chief of Staff, and the Secretary. Assist the Deputy Secretary in the ongoing and continual oversight of the Florida Scholars Academy education service provider’s implementation and development of the Florida Scholars Academy. Serve as the official Clerk of the Florida Scholars Academy Board of Trustees. + Serve as the official recorder and custodian of Board of Trustees’ meetings, ensuring accurate documentation of proceedings. + Prepare and distribute agendas, minutes, resolutions, and official communications for board meetings. Creates, reviews, and seeks approval for meeting documents and presentations. + Take roll call and record votes on action items. + Maintain and organize board records, ensuring compliance with legal and regulatory requirements. Ensure the Board's website is updated properly. + Act as a liaison between the Board, the department, and Florida Scholars Academy education service provider. + Facilitate logistics for board meetings, including scheduling, venue arrangements, and technology setup. + Ensure transparency and accessibility of board documents to authorized parties. + Research and compile reports to support board decision-making. + Handle correspondence, inquiries, and requests related to board activities. + Manage confidential information with discretion and professionalism. Performs other related duties as assigned. KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of project management principles and practices, ability to collect, evaluate and analyze data, to develop alternative recommendations, solve problems, document workflow, and other activities relating to the improvement of project management practices, state budgeting. Microsoft Office Suite (including Outlook, Word, Excel), Microsoft Project (or comparable project management software), strategic planning. Strong analytical, problem-solving, and conceptual skills. Ability to anticipate future consequences and trends and create strategies and plans. Ability to analyze data, identify problem areas, make improvement recommendations, and implement approved recommendations. Ability to review projects, processes, and data to quickly identify problem areas. PREFERRED QUALIFICATIONS: A bachelor’s degree from a college or university. Three years of project manager experience. The ability to travel. Possess a valid driver’s license.
