Dispatcher - Drivers - Full Time - Variable
Responsible for development of effective, secure and timely logistical routes and communications to, from and between customers and route drivers. Serves as the liaison between internal and external customers and the couriers. Interacts with all level of management, medical processionals and staff to provide exceptional transportation services for specimens, materials and personnel. ACCOUNTABILITIES *All duties listed below are essential unless noted otherwise* 1. Manage day to day operations of dispatch office, couriers, and monitors items in mailroom to ensure timely delivery. Escalates incomplete deliveries to leadership. 2. Revise and maintain courier electronic schedules for call offs and open shifts, including monthly on call, Toledo, and Monroe schedules. Create, revise, and maintain pneumatic tube down time schedule as needed. 3. Input data into software program in an accurate and timely fashion. (to include phone calls, emails, faxes, any special requests). Interacts with customers to obtain complete and accurate information regarding customer requirements and communicates with couriers in a timely manner. 4. Complete data base for end of month billing including corrections, filing, and counting. 5. Prioritizes multiple requests for transportation by recognizing urgency. 6. Ensures all fleet vehicle preventative maintenance is completed in a timely manner. Maintains weekly fleet mileage ensures couriers document mileage daily on route sheet. Alters and documents auto assignments as needed for inclement weather and for vehicles out of service. Manages auto assignments to load level fleet mileage. 7. Ensures that each courier has appropriate route sheets and is aware of exceptions or special circumstances, and review beginning of day checklist. Responsible for updating and printing route sheets in a timely manner. 8. Works in collaboration with leadership to design/alter route structure. 9. Monitors customer’s satisfaction by responding to customer requests and courier comments and alters delivery methods and timing if required. 10. Documents and proactively communicates QA issues and updates to leadership. 11. Uses feedback from couriers and dispatchers for process improvements. 12. Demonstrates proficiency with GPS software to determine the location of couriers. Provides a weekly GPS check for all routes and reports discrepancies to leadership. 13. Responsible for documenting and communicating all specimen issues including specimens left inside draw sites, courier vehicles and coolers. Completes RL 6 safety report for all couriers left specimens. 14. Demonstrates competency of RL 6 safety reporting and responsible for overseeing all courier entries are accurate and complete after vehicle accidents and slips/trips/falls. 15. Other duties as assigned. Education: High school diploma or equivalent Skills: Proficient in Microsoft Office products, data entry, works in a team environment with minimal supervision, listening and documentation, and multi tasking Years of Experience: 1 year experience in transportation field License: Requires a valid driver's license and a clean driving record, as demonstrated by a MVR in order to be covered under the Company's insurance policy. Additional Experience Must be able to understand directions, communicate and respond to inquiries. Requires effective interpersonal skills. Must be able to input and retrieve information from a computer. Must be able to communicate by telephone and e mail. Physical Demands: Must be able to move between workstations. Must be able to frequently move, lift, and carry materials weighing up to 30 lbs, 20% of the time. Must be able to tolerate sitting and computer data entry for long periods of time.
