Purpose

Support multiple Gift Officers with meeting and calendar management; donor and prospect research, briefing notes and collateral, and portfolio management; travel and entertainment coordination, reimbursements, adhering to university guidelines; endowment, pledge, and gift processing; data management and record keeping.

Responsibilities

Data Maintenance

Maintain current information in VIP system (alumni database), solicitation tracker, and other systems, as needed, for accurate tracking of donors. Handle gift processing submissions, acknowledgment correspondence, and pledge payment records. Update and correct donor records and perform related clerical or process functions. Create fundraising reports, as needed. 

Event Logistics

Coordinate details of occasional fundraising and alumni engagement events, in national, regional, and local territories. Create invitation lists in partnership with research analyst. Coordinate outreach to invitees with gift officers across campus, as needed. 

Strategy and Development

Provide high level support for McCombs gift officers as assigned. Develop strategy with gift officers before scheduling meetings with alumni, friends, or parents of current students. Prepare donor briefing notes and talking points for multiple gift officers and the Dean of the McCombs School of Business. Provide administrative support, which includes, but is not limited to: mail merges and filing; donor database updates; fundraising activity tracking in Excel (or other platform) for special campaigns, as needed; providing gift and promotional items for donors and prospects, as needed; document stewardship and engagement activities for gift officers, as needed, and help with gift agreements, as needed.

Travel Coordination

Prepare calendars, budget projections, travel documents, trip itineraries, donor collateral materials and arrange travel for gift officers. Prepare Requests for Travel (RTAs) and reimbursements, including travel, entertainment, and other miscellaneous items. Compose and prepare correspondence, reports, meeting agendas, and notes, assist with contact reports, thank you letters, and follow up materials, as requested. Other related functions as assigned.

Required QualificationsDemonstrated success in a customer service environment and the ability to communicate effective relationship management.Effective communication skills and ability to work independently as well as collaborate in a team-oriented environmentPrevious success managing multiple projects, assessing work priorities, and as well as regular ability in meeting deadlines.Demonstrated proficiency in organizing and recording data.Proficiency with software, especially MS Word, Excel, and Outlook and comfort with learning new technologies.Bachelor’s degree and one year of experience with specialized development work.

Relevant education and experience may be substituted as appropriate.

Preferred QualificationsTwo or more years of relevant experience.More than a year of experience in a supervisory role.More than two years of experience with fundraising at UT Austin.Experience working in a large-scale research university. Thorough understanding of the development process and the integral role stewardship and development communications play in overall fundraising strategy. Working knowledge of UT Austin's policies and procedures. Experience with VIP database and DEFINE.

Salary Range $54,000 + depending on qualifications

Working ConditionsWorks in standard office conditions, in a shared office environment with repetitive use of a keyboard at a workstation.Some evening and weekend hours may be required during peak periods and special events.Applicants must be legally authorized to work for any employer in the United States.
