Job Description
Your Team
The Design Coordinator will work as a key player in owning the daily Design Studio workflow with respect to the assurance that options are reviewed and processed according to detailed checklists and timelines, communicating any variations to the schedule. Exude strong organizational and communication skills to create collateral important to document buyer selections, ensuring accuracy, completeness, and efficiency. Your Key Deliverables
Design Studio Workflow
+ Oversee workflow by meeting with Designers weekly to review Design Dashboard for upcoming due dates and status of orders. Maintain Dashboard entering status of orders. Anticipate and communicate preplot due dates per process. Communicate any variances to the timeline with Director of Design.
+ Review orders for completeness and accuracy and perform tasks as outlined in checklists. Communicate with Designers on any revisions needed prior to processing order.
+ Ensure orders are Buyer/Builder approved by the due date.
+ Communicate finalized preplot option upgrade changes to Marketing, working through any discrepancies to ensure accuracy for web presence.
New Community Set-up
+ Participate in New Neighborhood checklist items, ensuring all assigned tasks are completed by timeline. Participate in weekly meeting with team to confirm we are on task.
+ When requested, schedule and organize new product reviews with tile, slab, flooring reps, collaborating to create master option lists that will be routed to purchasing for bidding.
+ Coordinate with Purchasing and provide Bidding documents for tile and countertop installation layouts as well as product attribute selections.
+ Responsible for creating community specific collateral such as supplemental digital option catalog, model-walk document, etc.
Design Library
+ Work with Director of Design on new product selections (flooring, counter, tile, cabinets, etc.).
+ Responsible for managing Design Sample Library (physical and digital samples) for corporate office and on-site design studios. Maintain library when products are dropped or replaced, documenting changes. Regularly dispose of dropped products or buyer-approved samples per timeline.
+ Manage Universal Digital Library and Materials List of Attributes.
+ Work with suppliers to ensure samples are received and representative of characteristics. Coordinate with suppliers on sample display boards. Ensure accurate labels identifying orientation, grout, and product information.
General
+ Add designer assignments to Pulse Production for Avid reporting.
+ Responsible for special projects as assigned.
+ Provide various administrative support tasks as assigned.
+ Prepare Avid Customer Satisfaction Reports, present at Design Meetings.
+ Maintain knowledge of product locations in showroom.
Must Haves
+ Strong time management, problem-solving and organizational skills
+ Excellent written and oral communication skills
+ Strong computer skills in Bluebeam, Microsoft Publisher, Microsoft Suite
Nice to Haves
+ Minimum 1 - 3 years experience in residential builder options preferred.
