Title Department Coordinator I Posting Number S01453JP Department Outing Club Job Summary The Bowdoin Outing Club seeks a self-motivated and organized individual to fill the role of Department Coordinator. This individual will provide seamless administrative support to a department that organizes more than 150 trips each year for hundreds of Bowdoin students to engage with the Maine outdoors. They will manage coordination of finances, expenses, student jobs, transportation, and other critical administrative functions.

This role is responsible for performing a variety of tasks that may include: maintaining departmental records, invoicing, assisting with scheduling and coordinating meetings, and handling general office duties. The ideal candidate is highly organized, detail-oriented, and proficient in office software applications.

Essential Functions: Provide general administrative support, including promoting trips on Campus Groups, sending correspondence detailing events and trips, running data reports and arranging trip transportation. Support other administrative functions unique to the BOC, such as running the BOC store ; arranging logistics for Wilderness First Responder (WFR); submitting Education Trip Leader (ETL) paperwork, and tracking ETL Permit Holders. Serve as liaison with other departments to maintain EHS standards in the Schwartz Outdoor Leadership Center as well as the newly developing Finnegan M. Woodruff Mountain Center in Kingfield.


The hourly range for this position is expected to be: $21.85 –$23.00/per hour. Compensation is based on skills and experience.

Education/Skills Requirements High school diploma or GED required. Associate’s degree preferred.

Must be able to follow verbal and written instructions. Must be able to work independently and in a team environment. Must have good communication skills; be able to get along with co-workers, supervisors and building occupants; and be able to work. Organizational Skills: Excellent organizational skills, including the ability to prioritize work, manage multiple tasks simultaneously, and meet deadlines. Communication Skills: Strong written and verbal communication skills. Ability to produce clear and concise reports, correspondences, and emails. Experience Requirements and/or Equivalents Experience providing general administrative support to department members, including answering phones, responding to emails, and managing correspondence . Ability to coordinate travel arrangements and accommodations for department members as needed. Assist in processing invoices, expense reports, and purchase orders. Experience working with 18–22-year-old college students in an outdoor leadership context, either in a college outdoor program or other outdoor trip organization preferred


Applicants must meet the minimum qualifications in this posting to be considered for hire. Standard Work Days and Hours Standard administrative hours are 8:30am – 5:00pm. Specific hours will be determined upon hire.
This is a part-time position working 27 hours/38 weeks per year, (0.50 FTE) with occasional evening or weekends as required.
