We are looking for a Delivery Operation Support Admin for 6 months based in our PJ office in Selangor, Malaysia. 

Key Responsibilities

Spare Parts Ordering

Receive order requests from technicians via WhatsApp, ensuring clarity and completeness.

Locate unit numbers using the master Excel sheet and check stock availability in JDE.

Confirm orders with the technician and warehouse manager.

Create picklist slips for approval, following the defined approval matrix.

Coordinate the collection of parts from the warehouse and close picklists once completed.

Address any unclear requests or information gaps to improve processing time.

PPE Management

Monitor PPE expiry dates and ensure timely ordering with Section Manager approval.

Coordinate with the supply chain to place orders when stock is unavailable.

Purchase Request (PR) Management

Process PRs for supplier engagements related to replacement, repair, and monthly servicing.

Ensure all PRs are approved by the Section Manager, the Service Manager, Finance, and Purchasing as per protocol.

Generate PR numbers and maintain communication with relevant stakeholders.

Service (GRN) Management

Open and manage O Job records in K2, and perform GRN operations.

Ensure all necessary documents (DO, invoice, PO) are signed and submitted to OGSC promptly.

Maintain a 30-day timeline for invoice submission to OGSC.

What you will need to be successful

Strong organizational skills with attention to detail.

Proficiency in using JDE and Excel for order management.

Excellent communication skills, particularly in clarifying and consolidating order requests.

Ability to multitask and handle up to 50 orders per day efficiently.

Problem-solving skills to address and resolve order-related issues.
