Apply now for Customer Services Administrator position and play a key role in providing essential administrative support to ensure smooth operational processes within the Customer Services department. This includes expense verification, purchase request handling, fixed asset coordination, customer-facing documentation, and internal administrative functions. The role supports both frontline and support teams by ensuring accurate documentation, timely processing, and compliance with internal policies and customer requirements.
Your Role:
1. SAP Concur Expense Verifier (50%)You are responsible to review and validate travel liquidations and reimbursement claims submitted by CS employees.You are responsible to ensure correctness and completeness of documentation in SAP Concur.You are responsible to follow up with approving managers and trigger payment confirmations upon receipt of original receipts.You are responsible to handle physical printing of receipts and liquidations for VisMin-based colleagues.
2. Purchase Requests via PDPP Tool (10%)You are responsible to raise and monitor purchase requests charged to CS cost center.You are responsible to handle direct materials such as CS service tools (asset items), repairs, and calibration.You are responsible to manage indirect material requests including office supplies, PPE, IT peripherals, and external training requirements.
3. CS Fixed Asset Coordinator (10%)You are responsible to process and track requests for IT peripheral movements (e.g., laptop handover, cost centre change) via Pega FAM tool.You are responsible to ensure accurate routing of asset management approvals.You are responsible to serve as point-of-contact for fixed asset inventory and reconciliation.
4. Support for Customer Requirements (15%)You are responsible to process and route customer documentation for collection, bidding, contracts, and T&M transactions.You are responsible to ensure timely routing for signatures and maintain organized filing of documents.
5. General Administrative Support (5%)You are responsible to coordinate and support Townhall and team events.You are responsible to assist in processing visa requirements for training-related travel.You are responsible to provide administrative support for corporate programs and initiatives as needed.
6. End of Support (EOS) Letters Management (10%)You are responsible to maintain and monitor installed base approaching end-of-life (EOL) using internal tools.You are responsible to prepare, route for signature, and send EOS letters to customers across all modalities.Your Expertise:You have a bachelor’s degree in business administration, Office Management, or related field.You have at least 2 years of experience in administrative or customer support roles.You have background in medical technology, healthcare, or multinational companies is a plus.You are proficient in Microsoft Office (Excel, Word, PowerPoint).You are familiar with SAP Concur, SAP PDPP, and Pega FAM tools is an advantage.You are comfortable with digital tools and document management systems.You have strong attention to detail and accuracy.You have excellent organizational and time management skills.You can handle confidential information with discretion.You are proactive in coordination and follow-through on tasks.You have strong interpersonal and communication skills, both verbal and written.You can work independently while supporting cross-functional teams.
