Position Summary
The Service and Delivery Customer Service Representative receives calls and inputs into the Quality Oil System to meet the customers’ needs efficiently and effectively as possible. The main duties of the customer service representative are to take calls, create work orders/delivery orders, schedule service appointments, process payments, and provide outstanding service to the customer.
Responsibilities
To provide the highest level of Customer Service while maintaining a competent communication with customers, technicians, drivers, team members, supervisors.Make outgoing and receive incoming calls / texts / e-mails assisting in needs from: conducting service surveys, sales, account inquiries, billing questions/issues, scheduling deliveries, advising clients of promotion, and credits forwarding complex issues to leadership for resolution.Complete billing assignments, mailing hard-copy invoices to customers without electronic deliveryMaintain scheduled service calls on an electronic service dispatch board, making sure all calls are scheduled with the appropriate technician in a timely manner.Perform order system maintenance as neededIs knowledgeable of basic propane, fuel terminology and assists in order parts and coordinating their delivery / pickup.Assists leadership in any other administrative duties / projects as requested by management.
Requirements
Bilingual is beneficial but not requiredSolid computer skills with strong knowledge of Microsoft Word, Excel, and PowerPoint and other software as assigned.Strong organizational and multi-tasking skills and strong attention to detailCustomer service oriented with excellent communication skills – both verbal and writtenExcellent problem solving and decision-making skillsKnowledge of local geographic area, including roads and highwaysMust have a valid driver’s license, clean Motor Vehicle Record, and meet company fleet requirements if required to drive for the organizationMust be able to sit and work on a computer/telephone for extended periods of time and lift up to 40 lbs. periodically Ability to multi-task and prioritize assignments in a team environment and independently
