Creative Catalogue Project Coordinator

Job Summary

This position is in the Ingredient Creative Catalogue (CC) Management group belonging to the Global Product Integrity and Compliance Team (GPIC) of the IFF Scent Division.

The GPIC team oversees sustainably managing and preserving the identity and unicity of our selling fragrance portfolio during its lifespan. In this aim this team is responsible for the re-formulation triggered by the continuous evolution and evaluation of our ingredient(s) portfolio.

The Creative Catalogue Management team is the GPIC body monitoring and coordinating the daily activities and evolution of our ingredient portfolio. It operates through a formal network of cross functional experts from other divisions covering all aspects(s) of ingredients key characteristics and associated KPIs.

The Team evaluate support and prioritize short-, mid- and long-term projects and activities related to ingredient(s) life cycle management, evaluation, introduction, deletion, value creation, complexity reduction etc.

Our common objective being to provide and design the best fit for use ingredients portfolio to perfumers to compete and design winning fragrance for IFF and our customers.

Job description:

The creative catalogue coordinator will work under the supervision of the creative director in close collaboration with the creative catalogue manager.

His role will be to record, set up in motion and monitor activities completions of the actions derived from the Catalogue Stakeholders Team(s) weekly, monthly, and ad-hoc meetings.

His/her main responsibilities will consist of:

Samples Management:

Manage ingredients samples collection, storage, shipment and tracking at a global level in collaboration with procurement, laboratory assistant and the administrative support team.

Maintain an accurate list of recipients.

Trigger and monitor the Ingredient Qualification Review (IQR) with regular status update to ensure on time gathering completion (within budget) of the information’s necessary to its accurate evaluation for potential entry in the catalogue.

Manage all aspects of the formal ingredient introduction process “Initial Stock setting” in collaboration with global procurement and our global pricing team.

Meeting Management:

Manage and monitor the action tracker tool (One notes) and drive discipline across all contributors to ensure information’s and actions are completed on time.

Organize and send the weekly core team agenda based on action tracker every Thursday for the next week.

Organize the monthly Strategic Review Committee (SRC) agenda based on management priorities, collect in advance speakers’ presentation materials, ensure minutes are raised, reviewed, posted, and shared to all participants.

Develop the monthly Ingredient Newsletter(s) based on information available in One Notes and share with designated recipients list after validation by the CC manager.

Communication Management:

Ensure request(s)/information(s) loaded against SRC Management mailbox. (daily) are prioritized and dealt with by the relevant owners.

Channel request(s)/information(s) between the technical perfumer team and creative catalogue team for prioritization, execution, or assessments.

Issue SRC meeting(s) minute(s) for review, validation, and global dispatch.

Issue Newsflash following recommendations made by CC Director and maintain accurate listing to facilitate tracking and messages standardization.

Ingredients Restriction/Exception use Management:

Set and maintain the ingredient restriction(s) use rules (Flexible Palette) provided and validated by Creative Catalogue management team based on supply chain status.

Review, validate or reject use request of noncreative compliant ingredient(s) for fragrance commercialization or Library (from experimental to IPC).

Update and Manage Ingredient Exclusivity perimeter(s) of use based on Customers/IFF contractual agreement.

Survey(s) and Projects:

Translate perfumers’ recommendation into an actionable Survey, ensure follow-up with individual SRC perfumers/CC Manager and consolidate response(s) for review and presentation at SRC call.

Ability to autonomously lead some side short term projects and network efficiently within the organization to bring them to completion.

Job Requirements

BS/MS in Chemistry or Life Sciences is required.

Excellent oral/written English communication and presentation skills.

3-5 years in flavor or fragrance industry experience, which should include sensory capabilities and a hands-on experience at ingredients level either in operation creative or development.

Highly collaborative and effective communicator with strong organizational skills and ability to : chase up and obtain information’s with attention to details / ability to deal with ambiguity and remain effective under tight deadlines.

Skilled in the use of Microsoft Pack Office and BI tool(s).

Knowledgeable of SAP, SAP transaction(s) and Business Warehouse use.
