Job Description
The CMMS Manager manages the asset/maintenance database and has responsibilities that include servicing and administration for the client’s day-to-day maintenance operations. This position assists in the development of written and oral reports and presentations, development of standard maintenance processes, support of system development, modifications, and related administration. Responsibilities include but are not limited to: the input of equipment assets, preventative maintenance data, building inspections as well as establishing preventative maintenance schedules on equipment. In depth knowledge of the CMMS modules feeding dashboards and reporting tools. Working closely with client and company Facilities Management on commissioning activities, prepare LOEs, develop related reports and training for facility management. In addition, this role will partner with Account Leadership to develop and launch projects and programs leveraging technology to ensure consistent execution and on time delivery of contract obligations. Knowledge, administration and integration support of CMMS, Business Intelligence software, 3rd party Middleware and data warehousing, and API/SFTP integrations with these applications and other tech systems or associated programs supported by these systems.Responsibilities
Facilitate client meetings between facilities maintenance and facility engineering staff to coordinate equipment and space turnover activitiesAssist in the development of draft analytics, presentation materials and communications relative to CMMSManages document processing and recordkeeping, data input, terminology and nomenclature standards, abstracting, and reportingDevelopment of SOP, flowcharts, & procedures for maintenance activities or processes relative to CMMS and facility management; ensures proper upkeep and filing of these documentsPerpetually reviews and ensures data integrity in CMMS using standard audit and control methodsDevelops and uses logical CMMS layout concepts to provide ease of finding assets & PMsEnsures that the data on equipment transfers, or change outs, is complete and stored properlyPerforms other data updates as directed by the Facilities Maintenance & Engineering ManagersEnsures consistent correct system applications, standardization, and provides necessary training to all users; strong competency in leading large online trainingsCreates complete and accurate spare parts and consumables listings for asset records and consumption features in the CMMS; leads efforts to utilize consumption modeling in CMMSEnsures that OEM manuals and warranties are recorded in appropriate places in CMMSCreates PM tasks for new equipment in the CMMS and updates existing to ensure standard PM delivery across the account; perpetually audits PMs for consistent scheduling and cyclingCreates requested CMMS reports and submits them to account or client management as neededDevelops custom CMMS reports based on proactive engagement with FM, Leadership, and ClientSupervises the workflow procedures for the work order and other approval processes thereinPrepares the periodic KPI reports for maintenance managementMaintains and audits the CMMS dispatch matrix for all sitesEnsures SLA and Business Clocks are aligned for proper work order metrics and managementInitiates, plans, executes, monitors, controls and closes assigned projects. Provide analysis and consultation to determine project requirements, scope, and application of industry based best practices.Troubleshoot project problems and develop plans to adhere to timelines and budgets. Anticipate risks and issues. Establish options and solutions, considering impact of decisions. Know when to escalate to seek leadership guidance and provide options.Implement change control procedures when needed to evaluate, seek approval of, and communicate changes in scope, timeline, or budget.Develop documentation and deliverables in accordance with project management methodology. Ensure audit trails and sign-offs are in place for each project.Maintain effective communications with supervisor, stakeholders, client, vendors (if applicable), and appropriate account personnel.Identify, establish, and maintain excellent business relationships. Communicates recommendations for decision makers.Exhibit negotiation skills with internal department, project team, vendors, and business. Understand audience. Communicate up, down, and across the team.Demonstrate critical thinking skills, possess in depth understand of the Facility Management business, and facilitate decisions based on what’s best for the account and client.Demonstrate a focus on continuous improvement in CMMS ManagementComprehensive knowledge of CMMS methodology, governance, and industry best practicesExperience-based approach to risk aversion, risk management and change control.Demonstrated ability to think ‘outside the box’ to solution and pivot as needed to meet customer business objectives within constraints of scopeAbility to manage multiple workstreams concurrently and looking at the ‘bigger picture’ of impacts to delivery and scopeRequirements
Preferred Associates Degree with 3-5 years work experience in a Facility Management, Corporate Real Estate environment5+ years’ experience in CMMS management, at least 3 years managing Corrigo CMMSAbility to read and understand O&M Manuals, WarrantiesExcellent written and verbal communications skillsExperience and proficiency in inputting and researching various data formats and creating reportsPreferred experience with Google Suite & SmartsheetExperience and proficiency with all Microsoft Office programs including:Excel (Mastery)Word (Proficiency)Outlook (Proficiency)PowerPoint (Proficiency)Visio (Desired)Sharepoint (Desired)Physical Requirements

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
