We are seeking a highly organized and creative Corporate Special Projects and Events Planner to manage and execute a wide range of special projects and internal and external events that align with our brand and business objectives. This role involves end-to-end planning, budgeting, vendor coordination, and on-site execution of events such as conferences, leadership events, talent events, board events, team-building activities, and executive meetings.

Job Description

What You'll Do:

Manage special projects as assigned, ensuring alignment with organizational goals and timely execution.
 Plan, coordinate, and execute corporate events from concept to completion.
 Collaborate with internal stakeholders to define event goals, target audience, and key messaging.
 Develop and manage event budgets, timelines, and logistics.
 Work with existing AEP resources and teams to execute events and projects.
 Collaborate with Workplace Services to identify and negotiate with vendors, venue and service providers.
 Coordinate event marketing, including invitations and meeting materials.
 Oversee event registration, guest lists, and attendee communications.
 Ensure events comply with company policies, safety regulations, and brand standards.
 Manage on-site event execution, including setup, troubleshooting, and breakdown.
 Conduct post-event evaluations and provide reports with insights and recommendations.
 Stay current with industry trends and best practices to continuously improve event quality and impact.
 Provide summary reporting detailing total spend, negotiated savings, value added, volume, and attendees.
 Cultivate relationships with external providers to ensure priority and premium service.

What We're Looking For:

Bachelor’s degree in Event Management, Marketing, Communications, or a related field.8+ years of experience in corporate event planning or a similar role.Proven track record of managing successful events of varying formats and sizes (from 50 to 150+ attendees).Strong project management and organizational skills.Excellent communication and interpersonal abilities.Proficiency in event management software and tools (e.g., Cvent, Eventbrite, Asana).Ability to work under pressure and manage multiple projects simultaneously.Willingness to travel and work flexible hours, including evenings and weekends as needed.

Preferred Qualifications:

Certification in Meeting Planning (CMP) or similar credential.Experience with hybrid and virtual event platforms.Knowledge of branding and marketing principles.Possess an excellent understanding of meeting and venue contracts including terminology, risk points, and key negation opportunitiesProficient analytical skills

Compensation Range:

$96,110.00-124,940.00 USD

The Physical Demand Level for this job is: L – Light Work: Exerting up to 20 pounds of force occasionally and/or 10 to 12 pounds of force frequently, and/or greater than negligible up to 5-6 pounds of force constantly to move objects.  Physical demand requirements are in excess of those for sedentary work. Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) When it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time, but entails pushing and/or pulling of arm or leg c ontrols; and/or (3) when the job requires working at a production rate pace entailing the constant pushing and/or pulling of materials even though the weight of those materials is negligible.  NOTE: The constant stress and strain of maintaining a production rate pace, especially in an industrial setting, can be and is physically demanding of a worker even though the amount of force exerted is negligible
