Corporate Assistant II - Facilities Maintenance

The Corporate Services Assistant is responsible for providing support and daily administrative assistance to optimize workflow procedures in the department. This role will be responsible for placing service calls and supply orders for corporate multi-function devices, assist with scheduling usage on corporate vehicles and vending for all distribution centers and corporate offices.

ESSENTIAL JOB FUNCTIONS

Responsible for providing support and daily administrative assistance to Supervisor and Director of Corporate Facilities and Services. Managing the daily/weekly/monthly agenda and arrange new meetings and appointments as directed. This includes answering phone calls and redirecting them when necessary, receiving/sorting mail, and maintaining appropriate office supply inventory for the department.

Assist with business membership accounts for the corporate office and off-site locations (as requested), including the coding of statements, requesting new account holders and reclassification of holding account items monthly.

Responsible for maintaining multiple updated spreadsheets pertaining to these accounts. Will also include placing and tracking Sam’s/Costco orders for corporate, distribution centers, and regional offices for daily tasks and customer appreciation days (as requested).

Assist with overseeing the corporate fleet vehicles.

Assist with overseeing vending program for all distribution centers and corporate office. This includes communicating service issues, ordering supplies, as well as Perfect Serving replenishment orders. Responsible for ordering and organizing delivery of Gatorade and water to distribution centers in the most cost-effective manner as requested.

Assist the department Director with the daily functions of the services for the corporate office which include: janitorial service, grounds maintenance, pest control, waste removal, recycling/shredding, floor mats, TV programming, etc. to ensure all facilities are maintained in acceptable and effective condition.  Maintain good vendor relations with each of these services and process invoices for each.

Responsible for processing all department payables for payment and maintaining subscriptions and distributing to the corporate offices. This includes reviewing invoices for accuracy, identifying correct coding, and then routing for approval. Balance monthly statements to ensure accounts are in good standing while handling all inquiries courteously and professionally.

Serve as backup switchboard operator, handling multiple incoming lines and directing calls to proper individuals and/or departments. Greet guests, provide visitor badges, and direct individuals to their appropriate locations. Provide coverage for breaks and lunches, as well as illnesses and vacation or as needed. 

Responsible for ensuring the work area for the department is stocked with all necessary office supplies and that equipment is functioning properly. Assist department team members as necessary with any equipment or supply needs (paper, ink, batteries, etc.).

Provide primary phone coverage for the department.

Perform all other duties as assigned.

SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES

Required:

High school diploma or equivalent

Valid driver’s license

Ability to work both independently and in a team environment

Ability to work with minimal supervision and self-motivate

Must be able to prioritize tasks accordingly and work in a fast-paced environment

Excellent attendance and work ethic.

Excellent customer service

Ability to maintain a win-win and professional attitude

Desired:

Minimum one to two years administrative experience including; typing, filing, multi-line phones, email, sorting, copying, and organizational skills.

Ability to operate various printers, copiers, and fax machines.

Microsoft Office including Word, Excel, Power Point, and Publisher.
