Salary Range: $19.45 to $24.25/hr
The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.
JOB SUMMARY
Provide complex administrative support to 8-10 full-time and 10-15 adjunct faculty as well as providing excellent
customer service as the first point of contact in the faculty office. Work effectively with faculty and staff on
confidential administrative functions and provide administrative support for student competition teams. Interact with
administrators, faculty and staff in the School of Law as well as the entire St. Thomas community. Needs to comply
with professional ethical standards, particularly confidential information. Provides backup support to other staff in
the School of Law. Demonstrates independent decision making. Works effectively with limited supervision.
Proactively supports department goals and objectives.
ESSENTIAL FUNCTIONS
+ Provide complex classroom and administrative support to 9-12 full-time law school faculty and 15-30 adjunct faculty per semester.
+ Manage and maintain appropriate and confidential department data, files, and records.
+ Facilitate faculty requests including scheduling rooms and appointments, preparing digital and hard copy classroom materials, coordinating with intercampus services such as Parking Services, Food Service, Purchasing & Payables.
+ Act as resource for the learning management system (Canvas) and assist with general technology requests, coordinate with ITS and Scholars tech support as needed.
+ Assist in obtaining copyright and coordinate distribution of digital and hard copy course packets and other materials, as needed.
+ Compose, produce, copy, and scan documents.
+ Other classroom and administrative support duties and projects, as needed.
+ Assist with submission of scholarship articles mostly via Scholastica for faculty.
+ Provide administrative support for Student Travel and Guest Lodging needs.
+ Manage and coordinate U.S. travel arrangements for competition teams.
+ Coordinate event registrations for the above groups; advise students on correct St. Thomas travel procedures and reimbursement policies; coordinate vendor paperwork required to reimburse non-student coaches and advisors who may travel with the student/s; assist students in completing and submitting reimbursement requests; submit vendor forms and payment requests for coaching stipends; other administrative duties and projects as needed.
+ Manage the reception area in MSL 450.
+ Act as an initial welcome and resource to faculty, students, guests, administration, and staff.
+ Provide information and directions for students, business & civic community.
+ Provide strong ongoing public relations and assist in resolving problems.
+ Coordinate financial administrative tasks.
+ Assist with accounts payable procedural tasks.
+ Coordinate check requests, payments, and reconciliations.
+ Assist with other miscellaneous financial administrative tasks, as needed.
+ Maintain the faculty and supply office area.
+ Ensure that materials and supplies for faculty and staff are always readily available.
+ Oversee the entire MSL 400 suite and faculty lounge, including copier.
+ Assist with ordering supplies, as needed.
+ Assist with other miscellaneous administrative tasks, as needed.
QUALIFICATIONS
Minimum Qualifications
+ High school education or the equivalent
+ Three years of administrative support experience
