JOB DESCRIPTION

The Coordinator, Ad Sales Events & Engagement, reporting to the Director, Ad Sales Events & Engagement, will have a strong focus on hospitality, client engagement, and working with our Ad Sales Executives. The Coordinator, Ad Sales Events & Engagement is responsible for supporting the Ad Sales Events & Engagement team in planning all client and internal events.  Events will range from intimate dinners, team-building activities, community engagement opportunities, to large-scale multi-day programs and offsites.

A SNAPSHOT OF YOUR RESPONSIBILITIES:

Perform administrative duties for the Ad Sales Engagement & Events team, including working with Sr. Coordinator in clearing VP’s meeting card, organizing the event closets, arranging travel, and other ad-hoc responsibilities as assigned

Manage the shipping of all items and supplies for upcoming events, and unpack all return shipments in a timely manner

Track extensive list of shipments for all events, and act as main point of contact with UPS to troubleshoot issues as they arise

Work with managers to set up new vendors in COUPA and submit invoices for wire/check payments

Keep all digital files & event folders accurate and up to date

Manage both Ad Sales Engagement and Events calendar as well as industry-wide event calendar, ensuring it is accurate and up to date at all times

Manage inventory and restock evergreen event supplies as needed

Keep iPads up to date and Spotify playlists current for events

Organize and maintain event closets

Support all event prep as assigned by team

Provide on-site assistance for local events and other locations as assigned

Liaise with Ad Sales clients and other event attendees to coordinate travel arrangements, troubleshoot issues with event registration, answer questions, etc.

Assist in the coordination & production of digital and print collateral

Assist team with research for upcoming events including venues, hotels, activities, transportation companies, merchandise, etc.

Manage event invitation and RSVP process, as well as maintain guest lists, RSVP reports, etc for multiple events

Create registration pages in Splash event platform and deploy invites and reminders for each event

Work closely with VP on all merchandise sourcing and fulfillment across Ad Sales Portfolio & individual verticals, including creating decks for Ad Sales Executive’s review, maintaining master merchandise tracker of items ordered, and updating budget to reflect current spend across each vertical

WHAT YOU WILL NEED:

Bachelor’s degree or related work/internship experience

Excellent verbal and written communication

Design experience or strong interest in event design

Experience in design platforms such as Canva, Photoshop, Adobe, etc  

Experience in Splash event/registration management platform

Ability to handle multiple projects simultaneously under tight deadlines

Reliable and flexible team player

Proactive, solutions-oriented, and detail-oriented

Proficient in Outlook, Excel, PowerPoint

Proactively remains updated on current event trends for venues, restaurants, various vendors, etc.

Must be able to work flexible hours, including evenings and weekends based on event schedule

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $23.50-26.45 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
