Job Description

Convention Center Sales and Event ManagerJob Description for the Marshall Health Network Arena and Convention Center. The Convention Center Sales and Event Manager oversees the sales, planning and execution of a wide variety of events and coordinates all room, food and beverage needs for all convention center events. Serves as primary or secondary contact for client and must be present during the execution of the event. Position requires flexible hours.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist Marketing Director in accomplishing sales and marketing goals of the Convention CenterUse Sales and Marketing principles to promote the facilityAdvise, guide, counsel and meet with assigned clients as necessary regarding all event details and logisticsGather and organize all information pertinent to the event such as schedule and meeting room requirements.Quote rate and assist with formal agreements.  Prepares contracts.Guide clients in preparation of events by interpreting and explaining contract provision, policies and procedures. Meet with internal departments as necessary to discuss event requirements.Hold pre-event meeting with client and keep client informed of schedule deadlines, including but not limited to floor plans, meeting room set -up specifications, insurance requirements and other related details.  Communicate and work with the internal departments to review event requirements and logistics.Respond to client inquires by either providing information or directing inquiry to appropriate internal department.Advise clients on the operational procedures, policies, rules and regulations of the facility.Coordinate menus, linen requests, and client needs with the Director of Food and Beverage.Ensure a successful client event by partnering with SAVOR food and beverage team to meet food standards, room set up and on-time service with the result of client satisfactionProvide clear, concise and timely communication of detailed requirements to operations.Process last minute changes requested by clients and alerts internal departments and/or service contractors as necessary.Assist and troubleshoot basic IT and audio-visual needs for clients in the Convention Center meeting spaces as needed.  Report any issues with IT and Audio Visual equipment to Operations Manager.Prepare and distribute to client and internal departments in a timely manner an event document and diagram detailing all information required for the execution of the event.Maintain event files documentation of all contracts and correspondence.Prepare, review, complete and file final event settlements.Ensure customer satisfaction throughout the event planning process and during the event.Must be present during the execution of the event and serve as Manager on duty as requiredPerform related duties as assigned by GM and /or Director of Marketing and other duties as assigned.

WORKING ENVIRONMENT/CONDITIONS

Substantial standing and walking, sitting at computer; not substantially exposed to adverse conditions.Perform office related functions in standard office setting.

QUALIFICATIONS

Two years' experience in the operation and execution of conventions, trade shows, and/or corporate meetings is preferred.Must have at least a High School Education or Bachelors/ Associate degree in Marketing or other related field.Must be able to effectively manage many conflicting priorities at one timeExcellent communication skills.Must be able to work under limited supervision.Ability to work in a team environment and interact with all department levels and staff.Excellent organizational skills.Excellent problem solving and decision-making skills.Professional presentation, appearance and work ethic.Computer knowledge includes word, excel, Microsoft outlook and more.

HOURS OF WORK AND TRAVEL REQUIREMENTS

Hours will vary depending upon events but includes, nights, weekends and holidays.
