**Your Opportunity**
The PMCM Controls Administrative Process Specialist reports to the PMCM Controls Leader and is responsible for assisting the PMCM Controls Leader and the Program Teams with creating clear, concise, and user-friendly documentation that helps users understand and utilize complex products or services. This role is also responsible for assisting Program Teams with deploying Governance best practices and supporting the delivery of programs with regards to people, processes, and tools. The role involves collaborating with various teams to gather information, writing and editing technical documents, and ensuring all content meets high-quality standards. In addition, this role can support the PMCM Controls leader in coordinating special projects supporting program mobilizations and supporting the overall development and growth of the Controls team.
**Your Key Responsibilities**
* Assist with developing project and program process governance and ensure adherence to standards across programs.
* Produce high-quality documentation that meets applicable standards and is appropriate for its intended audience
* Work with program controls teams, including SMEs and Program Managers, to obtain an in-depth understanding of the deliverable and documentation requirements
* Drive consistent application of project workflows, reviews, and approval gates.
* Provide hands-on training and mentorship to the PM community, promoting best practices in project delivery, process compliance, and lifecycle management.
* Assist with developing and maintaining standardized process documentation, templates, to support knowledge sharing and reduce redundancy.
* Assist in the development of presentations around People, Process, Tools deployment of Program Controls processes
* Developing progress reports and key performance metrics (KPIs) and monitoring KPIs
* Monitor project progress with regards scope, time and costs. Provide corrective solutions if deviations occur.
* Document and communicate variance and trend analyses according to the change control process.
* Understand contract terms and assist Program Controls Managers with maintaining the life cycle of projects per client requirements and company guidelines.
* Collaborate with leadership to develop and prioritize strategic initiatives that align with the teams’ goals.
* Act as a bridge between the leadership team and other staff members, ensuring effective communication and information flow.
* Oversee daily operations and manage projects that require leadership attention, ensuring timely execution and alignment with strategic objectives.
* Plan and coordinate meetings, ensuring that agendas are set and objectives are met.
* Identify and address operational challenges, providing solutions and recommendations to improve efficiency.
* Lead special initiatives and projects as assigned by the leadership, ensuring successful implementation.

* Understanding of project control concepts and ability to effectively communicate ideas to others.
* Recognizes when technical problems are developing and initiates appropriate corrective actions.

* Ability to check own work for accuracy and completeness and manage time to meet project budget and schedule.

* Excellent written communication skills with the ability to convey complex information clearly and concisely

* Proven self-starter, able to work with minimal supervision
**Education and Experience**
* Bachelor's degree in English, Technical Writing, Computer Science, Engineering, Marketing or a related field.
* Minimum of 4 years of experience in PMO or technical writing role.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.

**Pay Range:**
* Locations in CO, HI, MD & Various CA, NJ Areas - Min Salary $ 82,600.00 - Max Salary $ 119,800.00
**Pay Transparency:** In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
