Contracts Coordinator

We offer competitive compensation and benefits such as Medical, Dental, Vision, 401K, PTO, Holiday Pay, Education Incentives, and more.** **WHAT YOU WILL BE DOING:** **Contract Intake & Management** + Act as the primary Intake Coordinator for all contract-related requests submitted through the shared team inbox. + Monitor, triage, and respond to incoming emails in a timely, professional manner. + Perform first-pass reviews to ensure forms are complete, required documentation is attached, and customer information aligns. + Log, convert, and file documents (e.g., converting PDFs to Word, saving in SharePoint) and update the tracking sheet accordingly. + Coordinate with internal stakeholders to obtain missing documents, such as subcontract agreements with primes. + Learn to review basic, simple contracts following guidelines for redlines. **Tracking & Follow-Up** + Send weekly follow-ups for open requests and executed contracts not received. + Ensure unassigned requests are picked up in a timely manner and notify the team if deadlines are at risk. + Maintain tracking sheets, including updates on team assignments and notes from completed reviews. **Document Handling & Filing** + Maintain organized, accurate, and confidential digital records of all executed contracts and supporting materials. + Utilize Adobe Acrobat to perform document edits, such as inserting pages, removing sections, or adding signatures. + Route contracts for electronic signature using DocuSign and manage completion status. **Cross-Functional Support** + Assist in preparing and submitting customer forms, contracts, and supplier documentation, including RFPs and vendor registration forms. + Serve as a backup on form submission tasks and be willing to learn the FreshService ticketing system. + Process lien waivers and pay applications in coordination with accounting or operations teams. + Communicate with division leaders and internal departments to ensure documentation needs are met. **General & Administrative Support** + Respond to general inquiries or escalate complex issues to appropriate team members. + Communicate directly (via phone or Teams) when email is insufficient—especially in follow-up scenarios. + Provide support on special projects and assist the team with ad hoc tasks or shifting priorities. **WHAT YOU WILL BRING TO THE TEAM:** + 2+ years of administrative or coordination experience, preferably in contracts management, legal, or compliance department. + Detail-oriented with strong organizational and time management abilities. + Ability to manage multiple priorities and meet deadlines in a fast-paced environment. + Intermediate proficiency in Outlook, Microsoft Teams, Excel, and SharePoint. + Experience using Adobe Acrobat to modify PDF documents. + Familiarity with DocuSign or similar electronic signature platforms. + Comfortable working across teams and levels, with excellent communication and follow-up skills. + Proactive, resourceful, and able to work independently with minimal supervision. + Experience working in a legal, construction, or compliance-related role, preferred. + Familiarity with FreshService or other ticketing systems is a plus, preferred. + Detail-Oriented: Strong attention to process, formatting, and data accuracy. + Communicative: Proactive and clear communicator who is comfortable speaking with internal teams and external contacts. + Dependable: Follows through on assignments and takes ownership of responsibilities. + Flexible & Adaptable: Thrives in changing environments and manages shifting priorities with ease. + Team-Oriented: Willing to support others and contribute to a collaborative team dynamic. **YOUR ENVIRONMENT AND PHYSICAL REQUIREMENTS:** The physical environment requires the employee to work inside.
