Job Description
Your Team
The Contracts Administrator will work closely with the Director of Land and VP of Land Development to manage and execute the contract process for land development design and construction contracts in Southern California. The Contracts Administrator in turn is fully responsible for creating, tracking, and distributing all committing documents for Land Development. This includes contracts, change orders, and purchase orders for Consulting and Construction disciplines. This position works with all the Regional Land Directors and Vice Presidents of Land to provide varying levels of support. The Contracts Administrator will have exposure to entitlement, construction, development, and finance teams.
Your Key Deliverables
Contract Support
+ Assist the Vice President of Land Development, Director of Land, Project Managers, and Regional Directors in the preparation of bidding documents
+ Prepare Bid Spread Sheets in Microsoft Excel format
+ Prepare and Process Contracts and Contract Change Orders
+ Enter final contract documents in DocuSign and track through execution
+ Establish and Maintain Electronic Contract Files
+ Interact with Contractors, Consultants and other Project Team Members
+ Enter Contract Data into LandDev systems
+ Create LandDev PO’s
+ Code and route invoices and check requests invoices through APR and/or LandDev
+ Support Accounts Payable Department with Land invoice inquiries; Facilitate prompt payments and act as a liaison between vendors and accounting on billing/contract questions/issues
+ Create job cost reports in InformXL and LandDev
+ Support Project Managers and Field Teams in preparing, tracking and updating budgets
+ Support project managers with other updates in various proprietary systems.
+ Support team in direct reimbursements to adjacent property owners
+ Field sponsorship requests and submit for approval
Must Haves
+ 1-2 years of experience in construction purchasing
+ Strong verbal and written communication skills
+ Attention to detail
+ Extremely organized and able to handle multiple projects at once
+ Requires proficiency in Microsoft Suite (Outlook, Word, Excel) with an Excel emphasis
+ Ability to adapt to and learn new project management related software and leverage AI support
+ This position is located in the Costa Mesa office and requires collaboration with the land team member in the Costa Mesa office
Nice to Haves
+ Preferred 1-2 years experience in land development related work.
