Contract Administrator

We are currently looking for a skilled and proactive Contract Administrator to join our supportive Wellington team. This is an excellent opportunity for someone who enjoys working in a fast-paced environment, has a passion for detail, and takes pride in delivering high quality administration and contract support. 

As the Contract Administrator, you’ll play a key role in supporting the delivery of civil infrastructure projects and maintenance operations. You’ll be responsible for managing a range of administration functions across procurement, data entry, compliance, and contractor documentation-ensuring systems run smoothly, and our internal and external customers receive exceptional service.

You’ll work closely with project managers, supervisors, and the wider business support team to ensure we meet our commercial, safety, and regulatory commitments – while continuously improving how we work. 

Key responsibilities: 

Use Downer systems including JD Edwards, MS SharePoint, RAMM and others to support administration, payroll tracking, and plant usage reporting  Maintain contract work order and assist with project claims, daily job records, and job cost tracking  Support meeting organisations, training coordination, document filing and office supply procurement  Ensure compliance with Zero Harm, health & safety reporting, and record keeping requirements  Coordinate subcontractor documentation re-induction processes  Support the Operations Manager and wider Wellinton team in business unit meeting and internal communications 

 

Nga pūkenga matua | Important Skills

Previous experience in an administrative or contract support role, ideally within the infrastructure or construction sector  Confident, friendly, and adaptable communication style  Strong attention to detail and ability to work to deadlines  Proficient in Microsoft Office applications (Word, Excel, Outlook) Familiarity with JD Edwards ERP or MS SharePoint is an advantage  A current NZ driver’s license is desirable but not essential  A proactive and collaborative approach to problem solving and continuous improvement
