About the Role

This role plays a critical part in Technology Division and AIA Bhd. as a whole as the person is expected to effectively manage and optimize relationships with external vendors, ensuring they deliver quality goods or services, meet contractual obligations, and align with the organization's strategic goals while minimizing risks and costs.

Job Responsibilities:

Identify, evaluate, and select the best IT vendors based on needs, requirements, and budget. Negotiate and manage contracts with vendors, ensuring favorable terms, service level agreements (SLAs), and compliance with company policies. Track and evaluate vendor performance against agreed-upon KPIs and SLAs, identifying areas for improvement and addressing issues proactively. Build and maintain strong relationships with vendors, fostering collaboration and ensuring mutual success. Identify and mitigate potential risks associated with vendor relationships, including security, compliance, and financial risks. Identify and implement cost-saving opportunities while maintaining or improving service quality. Ensure that vendors adhere to relevant industry regulations and company policies. Act as a primary point of contact for internal stakeholders, communicating vendor performance, issues, and opportunities. Contribute to the development and implementation of vendor management strategies and policies. 

Performs other responsibilities and duties periodically assigned by supervisor in order to meet operational and/or other requirements.

Financial and Non-Financial Measures:

1.    Contract Management

Contract Review and Updates, Contract Negotiation, Contract Documentation, Contract Closure.

2.    Cost Optimization

Ongoing cost monitoring/control driving optimization.

3.    Vendor Performance Monitoring

Performance Reporting, Performance Improvement, Vendor Assessment, Vendor Risk Management.

4.    Communication and Relationship Management

Stakeholder Communication, Vendor Relationship Management.

5.    Vendor Matrix

Maintain a comprehensive vendor matrix that provides an overview of all vendors, their capabilities, and contracts.

Job Requirements:

A bachelor’s degree in computer science, information technology, or business administration. 

Between 5 to 7 years’ working experience in IT Vendor Management position.

A solid understanding of IT systems, software, hardware, and cloud technologies. 

Experience in managing vendor relationships, negotiating contracts, and overseeing vendor performance. 

Excellent communication skills, both written and verbal, are needed to interact with vendors and internal stakeholders. Strong negotiation skills are vital for securing favorable terms and conditions. 

The ability to analyze vendor performance data, identify cost-saving opportunities, and make data-driven decisions. 

Ability to identify and resolve issues related to vendor performance, contracts, and compliance. 

Understanding and mitigating risks associated with vendor relationships and contracts. 

Knowledge of relevant industry regulations and compliance requirements.

Familiarity with IT project management methodologies and processes can be beneficial.
