The Corporate Real Estate, Conferencing & Event Operations mission is to provide seamless, high-touch support across all onsite conferencing and event spaces. You will build a strong sense of responsibility for the success of your conferencing space and events while building relationships with colleagues across all departments and levels. The team diligently manages resources, proactively anticipates needs, and consistently seeks improvement through feedback and innovative solutions. The Conferencing Operations environment fosters personal growth, allowing team members to hone their skills and contribute meaningfully to a shared vision.

Conferencing and Training Operations Management
Maintain Room Booking SystemSupervise, approve and manage local event schedulingMaintain accuracy of room informationTracking & reporting as needed for events and specialty spacesEmployee communications regarding conferencing, training and hoteling spacesCoordinate and resolve conference room conflictsSpecialty Event Management
Manage all Specialty Event Spaces onsiteWork directly with the client to determine logistical goals of their eventClearly communicate to all relevant internal departments regarding the specific needs of each event. Including but not limited to, room setup, audio visual and catering requirementsManage events calendar, submit setup needs and create diagrams as neededTrack and verify internal quotes for event services (setup, security and janitorial)Manage external event quotes, contracts and paymentsDay of Conferencing and Events Management
General oversight of eventAct of point of contact for event host, vendors, AV support, catering, and facilitiesRelationship Management
Build and foster relationships with clients, colleagues and senior leadersAct as Corporate Real Estate Liaison for employeesProject Management
Sharepoint management, keep information constantly updated and refreshedOutlook management lead, delegating assignments to team membersResearch and lead the efforts for a new room booking toolHelp manage any new vendor contracts/services brought on to support Conferencing OperationsAssist Sr. Manager with External Event program and benchmarking rental pricingAssist Sr. Manager with utilization reports and dataVendor Management
Partner closely with vendors to ensure strong relationships and successful support of conferencing space and eventsParticipate in Quarterly Business Reviews and provide constructive feedback of service providersFinancial Management

Minimum Requirements:
Four-year college/university degree preferred; or equivalent work experience.4 years of experience in Event Management.Excellent verbal and written communication skills required.Excellent interpersonal and customer service skills required.Time Management and Organizational skills.Must be familiar and proficient with Microsoft Office Suite, including Microsoft Excel, Outlook, PowerPoint, Word and SharePoint.Must be flexible in schedule to work with on-site meetings, evenings and some weekends.Office Environment – Must work from the office full time; no remote work.Leadership Skills
