Key Responsibilities
Serve as the backup contact for GetService requests, providing status updates as neededServe as the single point of contact to support Internal meeting and event planning by assisting in locating room, triaging colleague requests, and overall conference tasks i.e., catering, conference room facilities requests, room set up and equipment required for the meeting/event.Administration and oversight of the conference room scheduling tool. Troubleshoot and resolve any issues related to system or resource alignment and ensure all information is accurate, up-to-date and posted in appropriate portals.Monitor email inbox daily and provide timely responses.Coordinate all meeting room setup request. Room set ups will include, but not limited to, chairs, tables, portable stages, cameras, flip charts/easels, waste receptacles, signs, banners, a/v equipment, room dividers, dry erase boards and markers, wall partitions, and miscellaneous suppliesExecutive meeting support, high visibility corporate events, town halls and event support.Internal meetings and events are planned and coordinated in accordance with Site policy and practices including setups and teardownsCommunicate meeting details to proper internal Pfizer audience and external audience when appropriateMaintain conference room supplies as necessary by checking and replacing markers, flip charts, pins, erasers.Collaborate with cross-functional teams including events, dining, and technology vendors to develop and execute detailed conference room designs, ensuring optimal functionality and user experience.Coordinate, execute and manage event timelines, ensuring all deliverables and deadlines are metLiaise with internal departments to ensure proper coordination and delivery of event-related services and support.Support the procurement, installation, configuration, and testing of conference room technologies, ensuring delivery within project timelines.On-site event management, overseeing setup, execution, and breakdown of events.Conduct post-event evaluations and analysis, gathering feedback from clients, attendees, and vendors to identify areas for improvement and ensure client satisfaction.Train end-users on the proper use of conference room technologies, trouble-shooting common issues, and providing ongoing support.Anticipation and response to Client’s needs and concerns, including ensuring no safety or security incidents occur.Perform additional job duties, as requested. Assist Soft Service coordinator/Community Manager with site delegated tasksQualifications
High school diploma required; Associates degree preferredAt least 2-3 years of experience in event coordination or related roles.Strong organizational, time management, and multitasking skills, with the ability to manage multiple events simultaneously.Exhibits strong commitment to safetyAbility to manage multiple priorities and deliver results in a fast-paced environmentHighly collaborative with strong interpersonal skills and an ability to interact with internal and external clientsStrong verbal and written communication skills with the ability to communicate professionallyProficient in Microsoft Office Suite (Excel, Work, PowerPoint, Visio, Outlook)Ability to remain calm and composed under pressure, with the flexibility to adapt to changing situations and client requests.Strong technical knowledge and experience with conference room technologies such as video conferencing systems, audio systems, presentation equipment, and room control systems.Customer-focused & Team mindset with a passion for delivering exceptional service and support.Location:
