Job Summary The Conference Services Assistant will ensure that all meeting rooms and public conference areas are maintained to the highest level of professional appearance. The Conference Services Assistant will collaborate with the Conference Manager to ensure all meeting requirements are met before the meeting start. They will assist the Catering team with set-up, service, and reset. They will need to work well individually and as part of a team being self-reliant using Banquet Event Orders as their guide. They must keep accurate schedules, records of their work, and track projects following department procedures. Job Duties Conduct daily walkthroughs of all Conference Center and Practice Rooms to ensure cleanliness, proper setup, and readiness for scheduled events. Support conference events, room bookings, and front desk operations as needed; coordinate with the reception team on stationery restocks and service ticket follow-ups. Monitor and restock practice rooms; set up and verify catering deliveries and signage placements. Ensure room configurations meet client specifications. Review and reconfirm upcoming MPR room configurations; set up meeting rooms for the following day, including layout adjustments and supply restocking. Perform periodic inspections of all practice rooms across multiple floors throughout the day. Prepare and submit daily reports summarizing completed tasks and any open maintenance or setup tickets. Receive and execute internal meeting setup instructions, ensuring room readiness for team use. Respond to last-minute room setup requests for next-day events, ensuring prompt and high-quality execution. Provide real-time support to event planners, addressing on-the-spot needs as they arise. Complete end-of-day walkthroughs to confirm the cleanliness and readiness of all practice rooms; verify that cleaning and catering tasks have been completed. Catering Support Maintain a clear understanding of food and beverage orders, working closely with hospitality and catering managers. Assist with the setup of food and beverage in meeting rooms as needed. Understand the daily F&B job orders assigned to various rooms and time slots. Ensure proper placement of catering signage and follow standard catering setup protocols. Communicate effectively with the culinary team and maintain professional working relationships. Collaborate with the facilities team for spill cleanup and general room refresh support. Possess a working knowledge of food allergies and intolerances and ensure safe service practices. Job Skills Demonstrates ability to interact with customers in a professional and pleasant manner Able to work independently and within a team structure. Demonstrate flexibility with scheduling, including availability for overtime or adjusted shifts based on operational needs. Exhibit a strong sense of urgency and prioritization, while always maintaining professionalism and a customer-first attitude Excellent organizational and time management skills with the ability to prioritize tasks. Demonstrates ability to carry out responsibilities with little supervision. Ability to prioritize and handle multiple tasks simultaneously. Excellent written and oral communication skills Detail oriented and displays a commitment to quality work while keeping in mind customer expectations and timelines. Possesses a professional business demeanor.
