What you will be doing
The Transportation Logistics Analyst is responsible for ensuring all Transportation Assets and Transportation Solutions supporting the Albertsons Fleet Enterprise are accounted for and managed well. This includes process control, trouble shooting, record keeping, working knowledge of each solution. The position is designed for the analyst to be a subject matter expert on DOT licensing and transportation regulatory requirements and data governance requirements for each Asset Management Solution. This position is vital to being a source of truth regarding all transportation assets and to ensure our vehicles are compliant. The work originated and completed by the analyst creates proper accounting for all transportation asset titles, licenses, permits, life cycle costing, MPG and other miscellaneous transportation requirements.
This position integrates with Transportation HQ and Field Operations, IT, Corporate and Field Finance, and Vendors and plays a key role in process control documentation, a source of truth for fleet equipment statistics, and end user training for Asset Management Solutions.
The position will be based in Boise, Idaho
Main responsibilities
Key Transportation Service Providers include the following:
Asset Control:
New Equipment numbering. Determine which DOT name new equipment will be registered under (Company owner on title).Confirmation of paid Vendor/Manufacturer Invoice, (Manufacture Statement of Origin (MSO) is released upon payment). Copy of Equipment Purchase Order and copy of Manufacturer Invoice for Initial License and Registration. Transferring and Sold/Scrapped equipment – Title Transfer, LCR File, Asset Management Notification. Ensure DCs file a completed and accurate E29/ERO – Equipment Removal Order Form is received from the DC for all sold, traded, or scrapped vehicles. All transactions are updated in vendor databases and Transportation Asset Files. Request titles from Company Vendor title vault and have signed before sending to buyer. Fleet Management Data Base Updates (add new equipment and identify sold equipment). Determine equipment registration (off road or on-road with base plate or IRP). Communicate with vendors for purchased equipment purchase name (DOT) on MSO for new registrations, build date when to be released, purchase order payment, MSO release to begin registration. Determine IRP or base plate on trailers, weight registrations, weight distance permits.
Complete upload into Asset Management Vendor database. Determine the contact for the MSO release on units (different team for non-IRP). Monitor process for delivery of equipment and completion of registrations. California Air Resource Board (CARB) liaison with 2 POC in CA (Web portal management).
Asset Communication:
Unit #, VIN# is communicated to equipment manufacturers (OEM) and Albertson’s Graphics Vendor (vehicle decal and advertising). Communication of unit & VIN# is made to DC’s with request to update Fleet Maintenance Software (TMT) and Dispatch Software (CAMS).
Cams Prospero
Process Quarterly Cams/Mobi invoices (includes DriveWyze) Assist Users with set up in Prospero Mobi.
Fleet Services (Fleetworthy)
Maintain Asset database, process data upload for new equipment. Manage Vehicle Registration (communicate license request for each asset). Process sold equipment (mark as sold in web portal). Request titles from FW title vault and send to HQ for signature with mailing label to buyer/DC. Review Vendor invoices (validate invoice charges are accurate for registrations, mileage tax, tolls, all other charges) using invoice back up information. Question & resolve all discrepancies. Process Vehicle Registration Exceptions (issues with State, Insurance cards, request POA) Provide oversight of monthly IFTA Fuel Tax data and Quarterly reporting.(all DC's except Irvine and Anchorage). Monthly total miles and fuel is reported by each DC. Sites work with Fleetworthy to validate and resolve discrepancies at the power unit level.
Provide oversight of monthly reporting of On-road fuel (WEX fuel cards + DC fuel), IFTA Miles and Fuel Reports. DC reports monthly, and Fleetworthy aggregates and reports IFTA miles and fuel quarterly. IRP Annual Renewal (process by DOT – varying month). Responsible for review of active tractors by DC for upcoming renewal by DOT. Submit to Asset Management Vendor to be completed. Annual Federal Highway Use Tax (FHUT 2290) – processed and submitted to Fleetworthy for renewal. Review list of on road vehicles (tractors and yard spotters), check for accuracy of tractors for upcoming renewal by DOT and submit to vendor for the renewal. Order replacement license plates as needed. Order fuel cards as needed. Federal MSC-150 Update (active drivers, tractors, trailers, drivers) – June (*transitioning to Safety Director)
Additional Duties
Point of Contact to support DC Transportation Manager & Garage Superintendents (requests for replacement plates, vehicle registration/title copy). Request duplicate titles/plates/stickers as needed. Off Road Fuel Refunds – file off road fuel refunds for refrigeration units and off-road yard trucks. Filed online (Denver, Melrose Park-TRU only) and filed by mail (Tolleson, SLC, and CW Perham [MA and ME]). Run equipment report from FW database quarterly (for active and sold units) and email to the sites to verify accuracy of active units. DC is responsible for aligning active / sold units in Transportation Maintenance System (TMT).
Safety
Process Fleetworthy monthly and annual contract invoices (VOD, TOD, Driver DQ Files) Review contract and send authorization for payment to VP Transportation. Process monthly SambaSafety invoices. Review and send to Director Transportation Operations. Set up new Users in SambaSafety, Vigillo, Qorta (Driver MVR). Weekly, review CSA (SambaSafety data) & create Recap communication. Daily, process accident emails from Claims Manager at Sedgwick and update “risk summary” accident spreadsheet. Validate accident data in Encompass matches the data in the spreadsheet. This ensures there is an accident reported in Encompass for any Albertsons Claim. Monthly CSA update – responsible for pulling data from FMCSA website by DOT, compile, review, and send CSA Summary Report detailing accidents and inspections to Corporate Director Fleet Safety (Bob Butler). FMSCA Drug & Alcohol Clearinghouse – set up Users(Safety Management at DC) For each Vehicle Recall, the VIN# are listed. The unit # are looked up and added to the recall document and emailed to the Transportation Manager for their follow up.
