College of Medicine Faculty Success Coordinator

The Faculty Success Coordinator provides administrative support to the Faculty Success unit, to the Faculty Assembly, and to various Faculty committees, and is responsible for the faculty success technology integration and automation to ensure efficient processes. The coordinator is responsible for collecting, maintaining, organizing, and managing Frist College of Medicine faculty records. 

Primary position responsibilities include:

Faculty Appointments and Credentialing: Manage the entire faculty appointments and credentialing process, ensuring seamless operations from initial appointment through reappointment and credentialing updates. Prepare and distribute correspondence related to faculty appointments, reappointments, and credentialing. Collaborate with the Frist College of Medicine Associate Dean for Faculty Success and Department Chairs to assist in the planning, organization, and execution of the faculty annual review process, ensuring compliance with university and accrediting body requirements. Retrieve, organize, and maintain comprehensive faculty credentialing records, ensuring all documentation is current and meets institutional standards.Database Management: Maintain and regularly update the central faculty database to ensure all records related to faculty appointments, reappointments, and credentialing are accurate and accessible. Perform periodic audits of the database to identify and resolve discrepancies, ensuring data integrity across all systems. Prepare data reports for internal and external stakeholders (i.e., the Belmont University Office of Institutional Research and Strategic Analytics, the Liaison Committee for Medical Education, and the American Association of Medical Colleges).Faculty Committee Support: Provide high-level administrative support to key faculty governance committees, including the Frist College of Medicine Faculty Assembly, Appointments and Promotions Committee, Nominations and Elections Committee, and Faculty Bylaws Committee. Work with Committee Chairs to schedule meetings, draft correspondence, prepare agendas, and compile data-driven reports for committee members. Coordinate the preparation and dissemination of materials required for committee decisions, ensuring timely delivery and transparency.Administrative Operations: Provide essential frontline administrative support to faculty, addressing inquiries and troubleshooting issues related to appointments, credentialing, and general operations. Assist in drafting and refining standard operating procedures (SOPs) for faculty-related processes to improve efficiency and compliance with institutional policies. Coordinate cross-departmental collaboration to streamline workflows and support the overall goals of the Office of Faculty Success. Manages the Associate Dean for Faculty Success’s calendar, scheduling meetings, and arranging travel, ensuring all plans and reimbursements align with university policies. Prepare briefing materials and handle communications on behalf of the Associate Dean, ensuring efficient follow-up and well-organized meetings and events.Policy Management: Serve as the custodian of the Frist College of Medicine Policy Repository, ensuring that policies are up-to-date, accessible, and communicated effectively to relevant stakeholders. Track submitted policy changes and updates, coordinating with the Dean’s Executive Leadership Team (ELT) and faculty leadership to implement necessary revisions.Event Planning and Management: Collaborate with the Director of Faculty Development and Engagement to plan, schedule, and execute a variety of faculty-related events, including workshops, conferences, orientations, and other professional development opportunities. Oversee event logistics, including facilities setup, audio-visual needs, catering, honorariums, travel arrangements, and event itineraries, ensuring all events adhere to university policies and guidelines. Manage event budgets and process payments, ensuring all expenses align with approved university policies.The above statements describe the job's essential responsibilities and requirements.
