Collection Development and Acquisitions Assistant (HEOa) **POSITION DETAILS** Under the supervision of the Chief of Technical Services, the Collection Development and Acquisitions Assistant helps maintain the CCNY Libraries’ financial records; monitors collection development and acquisitions budgets; supports acquisitions workflows; and assists in preparing financial analyses and reports for library accounts and expenses. The Collection Development and Acquisitions Assistant is a critical part of the Technical Services Division of the CCNY Libraries and aids in providing essential digital and physical library resources to the campus community. Working closely with the Chief of Technical Services, the Electronic Resources Librarian, and other staff, the assistant helps strengthen efficient workflows, and plays a key role in procuring library materials. Duties include but are not limited to: • Monitor the CCNY Libraries’ procurement tasks, including preparing, processing, and submitting requisitions and purchase orders, as well as obtaining required approvals using CUNYfirst, CUNYBuy, and ALMA (integrated library system). • Oversee the receiving of library materials in ALMA and CUNYBuy, match items to invoices, and coordinate with vendors, library staff, and campus finance to ensure accurate and timely payments. • Maintain accurate and up-to-date documentation of acquisitions activities, ensuring compliance with university procurement and audit policies. • Communicate with vendors to address order delays, payments, or contract renewals. • Use CUNYfirst financial module to support the monitoring and reconciliation of funds between library acquisitions unit and the college finance office. • Work with the Chief of Technical Services to provide statistical reports on acquisitions activities to the Associate Dean and Chief Librarian. • Participate in yearly planning of Libraries’ collections budgets. • Assist in tracking acquisitions budget expenditures by setting monthly procurement goals accordingly. • Communicate with departments and/or outside agencies to expedite acquisitions processes. • Process purchase orders and verify deliveries. • Assist with managing the acquisitions process for monographs, serials and subscriptions. • Assist the Chief of Technical Services with additional tasks assigned. • Provide guidance and cross-training to staff and student workers to ensure task consistency. **QUALIFICATIONS** Bachelor's Degree and four years' related experience required; MLS degree or Master's in a related field may be substituted for a portion of the experience requirement. **Preferred Qualifications:** • Strong knowledge of math and ability to perform basic calculations quickly and correctly. • Experience providing excellent customer service. • Experience with office technologies, particularly Excel and Word and/or document processing software. • Clearly and concisely communicating ideas in writing. • Project management skills, in addition to basic organizational and planning skills. • Time management skills. • Ability to work in a diverse setting. • Experience with NY State and CUNY procurement processes. • Experience with CUNY based systems and software. • Advanced mathematical skills. **CUNY TITLE OVERVIEW** Administers one or more aspects of Library operations and coordinates Library services. - Assists faculty, students, and librarians in order to evaluate needs and locate appropriate materials on a timely basis - Participates in acquiring materials in all formats and media - Reviews Library usage patterns and makes recommendations regarding services; plans and conducts training and outreach activities - Assists in developing and monitoring Library policies and user service standards - May oversee a Library unit such as Circulation, Access/User Services, Reserve, Stack Maintenance, and/or Acquisitions - Supervises and/or trains staff, students, and others assigned to the Library - Performs related duties as assigned. **CUNY TITLE** Higher Education Assistant **FLSA** Exempt **COMPENSATION AND BENEFITS** Salary Range: $77,092 - $86,741.
