Position reports to    :                   Supervisor, Planning

Purpose

The Clerk – Planning will play a key role in supporting maintenance operations by delivering efficient and reliable services within the designated area. Reporting to the Planner, the role ensures the provision of high-quality service to internal stakeholders through effective coordination and meticulous maintenance file management. This position is instrumental in maintaining operational readiness by providing a responsive and organized documentation system that underpins the company’s maintenance activities.

Key Responsibilities

Create, print, and close various types of Work Orders to support maintenance operationsApprove Work Orders as needed, particularly those generated from Work RequestsGenerate and print Picking Slips to facilitate parts allocationRaise Purchase Requisitions (PRs) in line with procurement requirementsUpdate and maintain Section Statistics Reports to track performance and progressMonitor and manage Section Backlog Work Orders to ensure timely resolutionHandle routine filing and documentation tasks to maintain organized recordsProvide system support to the Planner by resolving technical queriesIssue and record documents within the Technical Library, ensuring proper archivingPerform general office tasks such as photocopying, binding, and document preparationUpdate and maintain machine files for accurate historical recordsManage and update system data for reissued partsCarry out other responsibilities as assigned by the Supervisor to support the team

Qualifications

Minimum of a Grade Twelve (Grade 12) School Certificate; andCraft Certificate in any engineering related course will be an added advantage.

Experience

Prior experience with PRONTO software is highly desirableProven ability to perform effectively under pressure and meet tight deadlinesMinimum 2–3 years’ experience in a relevant administrative roleDemonstrated capability to work independently and manage assigned tasks and projects with minimal supervisionStrong sense of responsibility, reliability, and self-motivationExcellent communication and organizational skills, with attention to detail and accuracy
