Christmas Kettle Coordinator

MISSION STATEMENT:

SCOPE OF POSITION:

This position will manage all aspects of the Christmas Kettle Program including, but not limited to: hiring, supervising, scheduling, and monitoring all kettle workers and drivers for the Christmas Kettle Program. This position will maintain all necessary records required for Human Resources management such as payroll and accounting as well as monitoring individual workers and sites.

EDUCATION AND WORK EXPERIENCE:

A high school diploma or equivalent and relevant work experience is required

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Proficient in oral and written communication Proficient in customer and community relation skills Must possess valid Washington State driver’s license and pass TSA background check Must possess the ability to work well with all types of people Must demonstrate both organizational skills, creativity, self-motivation, and flexibility Working knowledge of Microsoft Word, Excel, Kettles program/database, multi-line phone, and Lotus Notes

ESSENTIAL DUTIES AND RESPONSIBILITES:

Contact all store managers to verify or seek permission to guarantee access to kettle sites. Contact made by phone, letter, or in person. Check all kettle equipment to make sure it is in good shape and ready to go. Maintain kettle equipment. This will involve making sure that the kettles, kettle stands, bells, and aprons are clean and in good condition at all times. See that additional equipment is ordered if necessary. Assist with placing any help wanted advertising for bell ringers in newspapers, etc. Make sure applications are available along with necessary hiring paperwork Interview and hire applicants. Ensure that all necessary forms are completed correctly by kettle workers See that all paperwork is completed and correct before entering it or submitting it for entry in the kettle system. File all Kettle Worker paperwork daily. Maintain all Kettle Worker paper work in confidential files either in a locked filing cabinet or a locked office. Make sure all stands and signs are delivered to kettle sites a week prior to the scheduled kettle start date Conduct an orientation meeting with all kettle workers during preselected dates in October. Review the responsibilities and guidelines. If the kettle worker has not signed the agreement, this must be done at this time. Conduct an orientation on Wednesday or Thursday of every subsequent week if new workers are added. Fully responsible for the bell ringer scheduling process The coordinator must be available at the beginning and end of each day to assign workers to sites (matching best workers with most productive sites), discuss problems, and answer questions The coordinator must be available to drop off and pick up workers Collect the time sheets daily. Ensure that correct data is available daily to facilitate data entry for payroll. Check paychecks with Administrative Coordinator when they arrive and process for distribution to workers. Perform “spot checks” on workers throughout the day to ensure the best possible image is being presented Troubleshoot any problems that come up with bell ringers, managers, drivers, etc. Must be available for emergency kettle worker transportation as needed Keep records of the assignment of each kettle worker and work cooperatively with the Corps Officer to monitor the locations’ productivity. Dismiss any bell ringers that are not at least doubling their pay. Use computer printout to determine productivity (dollar per hour average). Assist with the accounting of kettle money. This will involve ensuring that each kettle contains a slip of paper with the date, location, worker, and time in/out and that all kettles are accounted for at the end of the day. Inventory and store all equipment at the end of the season Other seasonal duties as assigned

 

PHYSICAL REQUIREMENTS:   

Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead Ability to operate a telephone Ability to operate a desktop or laptop computer Ability to lift up to 15 lbs. (usually file boxes, office supplies) Ability to access and produce information from a computer Ability to understand written information
