The Centralized Project Specialist – A Sr. Analyst is responsible for a broad range of activities to support our business operations. This position will report to and work closely with the Fin Ops Manager, Project and Contract Set-up Teams as well as interact with Practice Operations Partners.
**Position Summary**
+ Proactively interacting with Project Managers and Sales Opportunity Owners to initiate actions Play a key role in the management of new and existing sales opportunity and project records, including:
+ Sales Opportunity Record Updates for dates and estimated revenue installments
+ Sales Opportunity Review and actions to support for pre-staffing and readiness for client delivery
+ Project Analysis and Project Budgets/Backlog Updates
+ Project Forecast Management
+ Project Expense Review
+ Project WIP and Billing Approvals
+ Project Contractor time and expense approvals and support
+ Project Closure Readiness and Reviews
+ E-mail and personal interactions with consultants
+ Perform various ad hoc analysis and reporting
+ Manage internal relationships within the Practice and Corporate functions
+ Build reports and perform analysis
+ Partner with RM team for various reporting support
+ Is the knowledge and subject matter expert for Huron’s system (Workday). Performs testing for enhancement requests, updates, and issues. Performs training for team members. Works with the team to create and maintain end user training materials and programs
+ Defines and document processes for the team
+ Build a positive and accountable team culture, works to ensure communication and collaboration with all team members across all locations
+ Raises issues and concerns that are impacting accuracy, timeliness, and customer service. Suggests solutions to improve.
+ Updating and adding resource positions as per request from Project Managers/Operations Team.
+ Correction of Project Start and End dates as per request from Project Managers/Operations Team.
+ Monitoring of Mailbox and moving items to respective sub folders as per instructions.
+ Weekly project review analysis along with presenting facts and figures to the PMs and draft their feedback/queries/suggestions if any.
**Project Set Up:**
+ Updating the basic details of the project, Convert opportunity project to a project, Sales force opportunity review.
+ Role Assignment – Update Project manager, Project Coordinator and Managing Director from the Pricing tool.
+ Raise contract Set up request on Workday.
+ Update bill rates and cost rates.
+ Create the working forecast
+ Create the Baseline Budget
+ Review the Allocation table for Backlog and Reporting purposes.
+ Activate the project and ask the team to inform the same to the Project Managers.
+ **HEI Contract Set Up:**
+ Review the SOW, Pricing and MSA
+ Update the basic details of the project and convert opportunity project to a project.
+ Update the contract set up template which includes the below pointers
+ Update the GST number and Tax code for the clients within India.
+ Update the Bill to and Ship to address
+ Update the Arrangement Type – Fixed Fee, Time and Material and Time and Material Capped.
+ Update the contract value, Bill rate and Project Name along with a short description
+ Share the contract setup template with the contract set up team.
+ Biweekly calls with the US contract set up team to discuss the projects which are in the pipeline and address the issues.
+ Connect with the Project directors and Managing Directors to understand the Arrangement Type and get the queries resolved and how the contract needs to be set up.
+ Initiate the signature from the client and Huron on the SOW via DocuSign.
+ Project Activation for HEI Setups
+ **HTSG and Student Enrollment Project Set Up:**
+ Get Pricing approval from the Project Manager.
+ Review the opportunity on Salesforce.
+ Updating the basic details of the project, Convert opportunity project to a project, Sales force opportunity review.
+ Raise contract Set up request on Workday.
+ Update bill rates and cost rates.
+ Create the working forecast
+ Create the Baseline Budget
+ Review the Allocation table for Backlog and Reporting purposes.
+ Activate the project and ask the team to inform the same to the Project Managers.
+ **Forecast Vs Actuals follow ups and Analysis**
+ Pull the Forecast Vs Actuals report from Workday for all the Revenue Generating projects in Huron.
+ Exclude a few specific Cost centers and do a variance analysis.
+ Send out the notes biweekly to the Project Managers informing them about the variance on the projects.
+ Perform an analysis based on the responses received from the Project managers and send out the analysis to the management.
+ **Time Keeping and Project Support**
+ Entering the time for the resources who have missed to enter time and make sure the time has been accounted for and revenue has been recognized as per the forecast.
+ Send out notes to the resources who have entered time and not submitted their Timesheet.
+ Ad hoc requests for any kind of Project Support.
**Qualifications**
+ 2-4 plus Years of prior work experience
+ Bachelor’s Degree required, fields of Business, Finance, M.B.A.(Finance) or accounting preferred
+ Understanding of basic PMO/FP&A functions
+ Proficient in written and verbal communication.
+ Experience in customer service or financial transaction functions is preferred
+ Experience in a team environment
+ Ability to effectively communicate all levels in the company
+ Strong customer service aptitude and ability to proactively work with leadership to address challenges
+ Strong analytical and problem-solving skills
+ Organized and detail-oriented
+ Ability to manage multiple tasks simultaneously
+ The ability to learn quickly, work independently and meet deadlines
+ Strong computer skills including Microsoft Excel and experience in other Microsoft products (PowerPoint, Word, SharePoint). Other analytics or database tools including Salesforce and Workday a plus.
+ Salesforce experience (very strong nice to have and I think likely to find in some candidates)
+ Workday Financials & Project experience (nice to have for both positions, probably low probability we’ll see much volume of direct experience at this level)
+ Resource forecasting or project financial support experience (regardless of IT application, experience working on project level records from past position)
+ Strong Presentation Skills.
