University Unions (http://uunions.umich.edu) **Overview** University Unions drives community building and belonging through the integration of its three student union facilities (Michigan Union, Michigan League, Pierpont Commons), Center for Campus Involvement, Campus Information, meeting/event spaces, retail food, bookstore and other services to support student success. UU works in close partnership with Palmer Commons, an academic meeting facility, Conferences & Event Services and Michigan Dining to provide student-focused and customer-oriented service to the campus. **Position Summary:** The Administrative Coordinator provides professional administrative and operational support to the Center for Campus Involvement. This role is responsible for coordinating short- and long-term projects, managing staff and departmental calendars, and ensuring the smooth operation of the front desk and office environment. The Administrative Coordinator delivers exceptional customer service, supports and trains student employees, and fosters a welcoming and accessible environment for all visitors. Additional responsibilities include administering financial processes such as purchasing, contract routing, and maintaining internal controls. This position reports to the CCI Director/UU Senior Associate Director. **Responsibilities*** **Customer Service (45%)** + Deliver outstanding customer service by actively listening, responding, troubleshooting, and meeting the needs of students, colleagues, and campus guests. + Respond to in-person, phone, and email inquiries in a timely and professional manner. + Ensure consistent coverage and a welcoming presence at the CCI front desk. + Develop and document internal office procedures to support staff and student success. + Clearly communicate and interpret Center for Campus Involvement (CCI), University Unions, Student Life, and campus-wide policies. + Resolve problems by evaluating alternatives, referencing established policies, and exercising sound judgment. + Facilitate effective communication and information flow across the organization. + Monitor and maintain the condition of the CCI Suite, ensuring the environment is accessible, welcoming, and well-organized for all. + Serve on committees and workgroups as assigned. + Foster a positive workplace culture and uphold ethical standards that promote student, organizational, and institutional success. **Office and Project Support (45%)** + Manage short- and long-term projects from initiation to completion, as assigned by CCI staff. + Coordinate logistics and contracts for vendor sales at CCI events and inside UU buildings, partnering with staff responsible for budget oversight and student engagement initiatives. + Maintain and update staff and departmental calendars. + Oversee office administrative tasks, including maintenance requests, mail distribution, supply/equipment ordering, and coordination of office meetings, retreats, and celebrations. + Assist in the coordination of assessment and evaluation projects. + Arrange travel for staff in accordance with university policies. + Support student organization processes (e.g., registration, form submissions, vehicle reservations). + Create and maintain high-quality databases, tracking sheets, data reports, and office documents. + Manage internal controls documentation and compliance procedures. + Serve as a resource for CCI student employees and student organization leaders. **Financial Support (10%)** + Supervise and train 1-2 undergraduate front desk student employees, overseeing their work on front desk coverage and office projects. + Provide administrative support for CCI budget management and tracking. + Coordinate service billing, supply/equipment purchases, financial transactions, and contract routing with accuracy and attention to detail. + Reconcile purchasing card transactions in compliance with university procedures and deadlines. + Other responsibilities as assigned. **Required Qualifications*** + High school diploma or equivalent. + Minimum 2 years of administrative support experience or equivalent with similar complexity and responsibility. **Desired Qualifications*** + 4 or more years of administrative support experience. + Associate's or Bachelor's degree, preferably with experience working in a university or similar context setting. + Demonstrated experience in coordinating and tracking budget expenditures and revenue. + Familiarity with University of Michigan policies and procedures. **Modes of Work** Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Working Conditions: + Must be able to work 8:00am-5:00pm, Monday-Friday, at a computer in an open office workspace. Physical Requirements: + The incumbent will remain in a stationary position for extended periods and occasionally move items weighing up to twenty-five (25) pounds. Direct Reports: + Supervise 1-2 front desk undergraduate student employees. This role may have reporting obligations under Title IX and Clery.
