The Catering Administrative Assistant is responsible for assisting the Catering and Convention Services team with various administrative and clerical duties. This role is ideal for anyone who wants to learn more about Catering and become a Catering Sales Manager or Convention Services Manager, in the future.Job Description
Process catering files: banquet event orders (BEOs), group contracts, and pm numbers.Handle general phone, email, and fax inquiriesFollow up with clients regarding final guarantees, change,s and other catering detailsProcess invoices, report,s and filesScreen incoming phone calls, file and coordinate vendors for upcoming functionsCreate labels, pre-order menus, meal cards, menu cards, reader boards, and directional signsCoordinate group amenitiesCreate/Build Inquiries in the systemAssist in creating in-house event(s) BEOsSchedule meetings and confirm appointments for the catering staffAssist department managers in booking rooms for monthly department meetings and in-house functionsIssue/compile daily change sheets for internal departmentsEmail weekly report of all upcoming events: daily event sheets, parking reports, BEO distributionCompose and mail company brochuresField general catering questionsAssist with incoming mailAssist with the check-log and check dropsAttend all monthly department meetingsDeliver Passionate & Engaging Service to our GuestsYou will be passionate and truly engaged in taking care of our guests, recognizing individual guests and anticipating their unique needs to exceed their expectationsYou will consistently deliver our GUEST model:Greet or welcome everyone warmly with a smileUse eye and ear contact and the guest’s nameEstablish/anticipate needsSolve and own all requests/complaintsThank everyoneBuild a solid relationship with your Colleagues Treat colleagues with respect and dignityOther duties and responsibilities may be assigned.
