Cash Application Specialist
Description Our client in Downtown Houston is seeking a highly detail-oriented and experienced Cash Applications Specialist to join their dynamic finance team in Downtown Houston. This role is pivotal in ensuring the accurate and timely application of incoming payments to the correct accounts and resolving payment discrepancies. The ideal candidate will have a strong background in cash applications, excellent problem-solving abilities, and proficiency with accounting systems and reconciliation processes. Key Responsibilities Cash Application Processing: + Accurately apply incoming customer payments (e.g., checks, wire transfers, ACH) to specific accounts to maintain up-to-date records. + Ensure all payments are processed and applied promptly and within designated timelines. Reconciliation and Error Resolution: + Perform daily reconciliation of payments to ensure records align with bank statements and internal systems. + Research and resolve any discrepancies, unapplied payments, or payment misallocations, taking corrective actions where necessary. Account Maintenance: + Collaborate with the accounts receivable (AR) team to ensure customer accounts are accurate and reconciled, including credits, debits, adjustments, or refunds. + Prepare and post offsetting journal entries for discrepancies, working alongside other finance professionals to maintain accurate general ledger accounts. Customer and Internal Communications: + Communicate with customers or internal teams to address and resolve payment issues, such as unidentified or partial payments. + Build and maintain professional relationships with clients by providing outstanding support and timely resolutions. Reporting and Documentation: + Generate and maintain accurate records of all applied payments, adjustments, and reconciliations, ensuring compliance with audit and documentation standards. + Provide regular updates and reports to management on unapplied payments and resolution status. Process Improvement and Collaboration: + Collaborate with cross-functional teams, including Billing and AR, to streamline cash application processes and identify operational inefficiencies. + Participate in process improvement initiatives to enhance the accuracy and effectiveness of payment handling. System Utilization: + Utilize and maintain accounting software and ERP systems (e.g., SAP, Oracle, or other financial platforms) for efficient cash application operations. + Ensure proper system configurations and updates align with evolving business needs. Compliance and Confidentiality: + Ensure compliance with company policies, internal controls, and industry standards for cash application and financial reporting. + Maintain the confidentiality of sensitive financial data and adhere to data protection regulations. Requirements Education & Experience: + Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred. Equivalent experience will be considered. + Minimum of 2–4 years of experience in cash applications, accounts receivable, or a similar role, ideally within a mid-to-large-sized organization. + Technical Proficiency: + Strong working knowledge of accounting systems/ERPs (e.g., SAP, Oracle, NetSuite, or Great Plains) and bank reconciliation tools. + Proficiency in Microsoft Excel, including intermediate to advanced skills (e.g., VLOOKUP, pivot tables). Key Skills & Competencies: + Exceptional attention to detail and accuracy in handling high volumes of payments and financial data. + Proven ability to investigate and resolve discrepancies, with demonstrated problem-solving and analytical skills. + Strong written and verbal communication skills, with the ability to work effectively with customers and internal teams. + Organizational and time management skills to prioritize tasks and meet tight deadlines in a fast-paced environment. Preferred Attributes: + Familiarity with AR processes, invoice handling, and basic accounting principles is highly desirable. + Ability to adapt to evolving technologies and contribute to system/process upgrades. + Experience working in industries that require a high volume of cash applications (e.g., manufacturing, healthcare, or energy) is a plus.
