The Business Support Specialist will be a part of a talented team that performs job responsibilities necessary to support communication flow between team and organizational leaders, providing a broad range of administrative and executive support. The Executive Support Assistant is skilled in coordinating management meetings and other activities, as needed, to facilitate the work of assigned teams and projects while acting as an interface between internal and external clients and other departments within C3BM The Executive Support Assistant will define methods to accomplish tasks, develop schedules to complete tasks on time and define, develop, and document new processes with the ability to work multiple projects at a time.
Key Responsibilities:
Develop program plans and roadmapsDraft strategic communicationsTrack project budgetAssist with the communication of the financial and operational impact of any changesAssist with improving current processes and coordinate organizational procedures for optimized efficiency and productivityLead daily operations through collaboration with senior managementProvide expertise to organize and coordinate meetings with organizational leaders, program managers, & department leadersGather, validate and organize all financial data including labor, travel and other direct costsMonitor cost plan complianceReconcile all labor travel and other direct costs every month to support the finance departmentWork with subcontracts team to develop purchase orders and track and reconcile subcontract invoicesPrepare revenue and budget calculationsDraft contract performance assessmentsManage monthly status reports, burn rates charts and track all deliverableSolve complex problemsDevelop project schedule/timelineDefine, develop and document new processes as neededWork on more than 1 project or task at a time.Understand company and customer requirementsSupport team innovation and generate new ideas and operations.Work Environment:

Required:
5+ years of program management or business support experienceExperience with a financial and contract management support.Highly skilled in task prioritizationHighly proficient in the use of MS Office and other standard computer applications and toolsOutstanding problem-solving and critical thinking skillsOutstanding initiative by learning new skills and tasksAbility to develop, execute and maintain a continuous process and quality improvement plan.Willingness to seek out new projects and shows interest in learning new processes and technologiesAbility to lead meetings and develop solutions to problems.Active Top Secret clearance is required or this position.Desired:
