This position requires excellence in administrative functions - the ideal candidate for this role can effectively manage a demanding workload under time constraints with a calm, confident, and positive attitude, the ability to work independently, and deal with ambiguity. Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are a must. Being detail-oriented and having consistent and timely follow-up will be essential for success in this role. **This role requires** **experience in multinational companies** **and an** **advanced level in English,** **calendar skills, operational excellence, and an effective use of data and business systems.** **Responsibilities** **Responsibilities** Duties include but are not limited to: + Provide administrative support to LT members, managing domestic and international travel scheduling end-to-end, ticketing via the designated travel agency and visa processes + Calendar management and meeting organizing + Booking meeting rooms inside the office when needed + Process managers’ expense reports in a timely manner, as well as interim approve their Directs’ expense reports + Support end-to-end logistics for events organized by the segment(s) they work with, team meetings and offsites, which includes meeting logistics (booking space and catering), and material preparation + Organizing customer - partner related events of the segment + Additional Team, Team Wellness and team activity projects as needed + Work closely and collaboratively with the other business administrators within Turkey, MEA and across Microsoft + Arranging flowers and donations for special occasions like birth, funeral, birthday, etc. In line with the requirements, via the company resources. + Providing support in hosting guest executives – shuttles, agenda preparation, meeting arrangements, any relevant events – by close follow-up with segment lead(s). + Procurement of goods and services using internal tools and support contract processes in relation to those – Purchase orders + Budget management, including creating Purchase Orders, and tracking spend in partnership with the team’s Business Manager + Anticipate and remove administrative roadblocks and make timely decisions across the business group + Support creating PPT slides + Additional Team projects as needed + Provide general team support for ad hoc support requests **Qualifications** + Please note that this position is designated exclusively for candidates registered as persons with disabilities (PWD). Proof of disability status will be required as part of the recruitment process. + Minimum 4+ years of demonstrated work experience supporting leaders in a fast-paced environment + Business level English skill with the experience of working as admin/secretary using English with high preference of experience of supporting English speaking executives + Strong planning, organizational, time management, and problem-solving skills + Highly effective communication ability, both written and verbal + Ability to react with appropriate urgency to situations and requests + Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization + Proficiency with Microsoft productivity software including Outlook, all Office suite programs, SharePoint, One Note, Teams + Excellent skills in all aspects of planning, collaboration, analytical capabilities, and high level of attention to detail and proactive awareness + This description has been designed to indicate the general nature and level of work performed by employees within this position.
