Business Services Coordinator

Job Title: Business Services Coordinator

Department: Corporate Real Estate and Business Services

Job Summary:

The Business Services Coordinator plays a pivotal role in supporting operational efficiency by managing administrative tasks, coordinating business activities, and serving as a key point of contact for internal and external stakeholders. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic environment.

Key Responsibilities:

1. Administrative Support:

• Manage calendars, schedule meetings, and coordinate travel arrangements for team members.

• Prepare reports, presentations, and correspondence as needed.

• Maintain accurate records and files for the department.

2. Operational Coordination:

• Oversee day-to-day office operations, including supply inventory, office checklists, vendor management, and facilities requests.

• Ensure timely processing of invoices, purchase orders, and expense reports.

• Provide reception support.

• Collaborate with cross-functional teams to support business initiatives.

3. Communication:

• Serve as a liaison between the department and internal/external stakeholders.

• Respond to inquiries and provide timely information to team members and clients.

• Draft and distribute communications, such as memos and updates, as directed.

4. Project Support:

• Assist in planning and executing special projects and events.

• Monitor project timelines and deliverables to ensure deadlines are met.

• Provide logistical and administrative support for key initiatives.

5. Compliance and Documentation:

• Ensure adherence to company policies and procedures.

• Maintain confidentiality and security of sensitive information.

• Assist in audits and compliance reporting as required.

6. Onboarding:

• Maintain service levels and explore efficiencies as appropriate

• Ensure new hires have appropriate tools required on Day 1.  ie: equipment, provisioning, workstation

7. Technology:

• Provide appropriate tools for internal stakeholders

• Ability to troubleshoot basic day to day issues; assist end users as needed.

Qualifications:

• Education: Bachelor’s degree in business administration, Communications, or a related field (preferred).

• Experience: 2-4 years of experience in a business service, administrative, or coordination role.

• Skills:

• Strong organizational and multitasking abilities.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Ability to work independently and collaboratively in a fast-paced environment.

• Problem-solving mindset with attention to detail.

Working Conditions:

• Office-based role with occasional travel, if required.

• May involve extended hours during peak periods or project deadlines.
