The work of the Center for Faculty Excellence includes oversight of course evaluations, connecting faculty, supporting faculty through workshops, grants and events in support of the mission of MSU, and organizing faculty learning communities. This position also provides support for the Research Alliance and assists with facilitating overall operations in coordination with the Research Alliance Leadership Team. Contract Type Classified Salary If other, please specify Recruitment Type Open Position Details General Statement This position works with both the Center for Faculty Excellence and the Research Alliance. The Center for Faculty Excellence (CFE) is a division of MSU’s Office of the Provost and is committed to working across MSU to advance MSU’s capacity to build, deliver, and support academic excellence in teaching, scholarship, and service, with a focus on quality, access, and innovation.
The Research Alliance is a consortium of units across campus that includes the Office of Research Development, the Center for Faculty Excellence, the MSU Library, Research Cyberinfrastructure, and Undergraduate Research working together to support and increase the excellence of the university’s research enterprise. Duties and Responsibilities 0.8 FTE – Reports to the Associate Director and works closely with the Director and staff of CFE to facilitate overall operations and provide support for staff. Provides and/or oversees office reception and customer service.
Fiscal Liaison In collaboration with fiscal shared services, accounting and processing functions are performed. Prepares budgets for all events, including workshops and conferences. Collects, compiles, and submits invoices, P-card receipts, and travel and hospitality documents to Fiscal Shared Services for processing. Review monthly summaries from Fiscal Shared Services with the Associate Director.
HR Liaison First point of contact for hiring and payroll. Process forms (EPAF’s) for hiring work-study students and paying visiting lecturers.
Communications Support Provides routine website updates using the university Content Management System in coordination with the CFE staff. Under the guidance of CFE staff, prepare and send out the newsletter and manage the CFE email inbox. Answers the CFE telephone and manages other aspects of Center communications.
Events Manager Manage logistics for seminars, lectures, webinars, and other meetings. Oversee scheduling, reserving space, and promoting events. Arrange food, lodging, and travel for visiting lecturers.
Operations Manager Use Apex scheduling system to create courses, track registration and record attendance. Help create print materials for the CFE. Oversees property management of electronics, materials purchasing, disposal of surplus property, and equipment purchases.
Program Support Opportunity to develop workshops/learning communities on topics of their choosing.
0.2 FTE – Works closely with the Research Alliance Leadership Team to facilitate overall operations and provide support for staff.
Provide oversight of office reception including monitoring the shared email inbox (may include coordinating undergraduate student workers). Oversees reservations for the Teaching and Meeting space and other reservable facilities in 324 library space. Maintain 324 Library space includes coordinating cleaning by users of the space, ordering shared supplies for the kitchen (water, coffee etc.), and coordinating maintenance needs. Schedule meetings, gather data, create reports to document and assess the work of the Research Alliance. Provide support for logistics and coordination for Research Alliance events. Required Qualifications – Experience, Education, Knowledge & Skills A Bachelor’s degree or progressively responsible administrative/office management experience or equivalent combination of relevant education and experience. Demonstrated experience using personal computers and word processing, spreadsheet, presentation, database and email software to manage data and prepare reports. Demonstrated experience designing, writing, editing and formatting professional documents such as business correspondence, spreadsheets, and brochures, and reviewing/revising complicated, detailed documents. Demonstrated competence managing fiscal and budget records. Demonstrated experience organizing and managing events, prioritizing multiple work assignments, meeting deadlines, and adapting to changing priorities. Demonstrated effective communications and customer service skills. Preferred Qualifications – Experience, Education, Knowledge & Skills Knowledge of MSU procedures and policies or previous experience working in an academic department in a higher education setting. The Successful Candidate Will Ability to work with a high degree of accuracy and close attention to detail while meeting deadlines. Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude. Excellent communication skills, both written and oral. Excellent problem-solving skills. Ability to exercise independent judgment under minimal supervision. Ability to manage work-flow processes and schedules independently. Handle sensitive information appropriately. Excellent organizational skills. Consistently exercise initiative and good judgment.
