GENERAL DESCRIPTION:
The Business Office Coordinator I directly oversees the lodging program. The responsibilities include managing the annual fiscal budget, asset accountability, and serving as Secretary of the Lodging Advisory Council. This position also supervises employees, including hiring, termination, counseling, and mentoring. This includes Performance Management Instrument, timecards, and schedules.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.
+ Fiscal Management. Manage the Camp Guernsey lodging program. Responsible for budget projections, record keeping, fiscal accountability, annual budget reports, monitoring for compliance, and archiving. Manages and oversees Lodging accounts payable and account receivable.
+ Supervisory.Supervises ten (10) lodging personnel, both office and housekeeping staff, directing staff, human resources, and work activities to ensure compliance with State, Departmental, and Institutional policies and procedures.
+ Policies and Procedures.Develops and implements agency policies, procedures, and council bylaws for Lodging. Researches and resolves difficult questions/complaints to ensure issues are legally, morally, and ethically addressed.
+ Advisory Council.Facilitate lodging advisory council meetings. Duties include scheduling meetings, setting the agenda, providing financial status, and transcript minutes. Collects and analyzes data to recommend program expenditures. Implement the council’s policies and directives. Is a member of the board.
+ Purchasing Agent.Purchase materials, equipment, and supplies. Prepare quotes and bids in compliance with State law for life cycle replacement of inventory. Inventory management including pre-inventory and annual inventory.
+ Planning. Involved in planning and implementation of Wyoming Military Department and the State of Wyoming policies and procedures for new projects and directives that apply to Lodging at Camp Guernsey. This requires understanding of agency rules and regulations, agency mission, and administrative processes.
+ Property Management. Accountable for National Guard Bureau and Wyoming Military Department property. This includes buildings (in multiple locations), furniture, keys, appliances, and all other miscellaneous items.
Qualifications
PREFERENCES:
Preference will be given to candidates with skills and experience with Google Email, Google Calendar, and Google Drive.
QuickBooks experience.
A two-year degree in accounting or bookkeeping.
KNOWLEDGE:
+ Proficient with multiple programs including QuickBooks, Google Docs, Microsoft Word, and Excel.
+ Understanding of basic Human Resource practices of hiring, onboarding new employees, and timecard management.
+ Able to professionally resolve issues or complaints.
+ Basic accounting and bookkeeping.
MINIMUM QUALIFICATIONS:
Education:
Bachelor's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business)
OR
Education & Experience Substitution:
3-5 years of progressive work experience (typically in Business)

PHYSICAL WORKING CONDITIONS:
+ Must be able to lift to 25lbs.
+ Must have a valid Wyoming driver’s license, and be able to operate a motor vehicle.
