Position Information We are seeking to fill two Business Associate II positions to provide advanced administrative support for business activities at the AgriLife Research and Extension Center at Weslaco. Responsibilities: + Provides advanced administrative support. + May maintain office schedules and appointments. + Provides technical information regarding administrative procedures, services, or programs. + Assists in the development of office procedures, including complex or specialized functions. + Explains, applies, interprets, and communicates policies and procedures. + May monitor compliance with policies and procedures. + Verifies, processes, and reviews forms, reports, tables, and other documents. + Maintains a variety of fiscal, administrative, and academic records + Enters, reviews, and reconciles vouchers and requisitions. + Assists with monitoring and reconciling accounts. + Investigates errors on transactions and recommends and coordinates appropriate corrective action. + Responds to routine inquiries from vendors and other business units or departments. + Prepares documents and reports for year-end and new-year start-up activities. + Prepares routine purchasing specifications and documents. + Reviews work requests and annual inventory certification for approval. + May serve as a liaison to financial, payroll, and/or human resources. + Assists new employees in completing payroll, personnel, or other business documents. + May review timesheets and leave requests, prepare payroll documents for approval, and/or collect and distribute payroll forms. + May maintain and audit personnel files and annual leave/sick records. + Maintains business files and assists with specialized business projects and activities. + Disseminates business information to faculty, staff, and students. + May implement and report on scholarship programs and related financial activities. + Participates in the hiring and training of business staff and/or student workers and may provide supervision. + Assists in the planning of special events. + Arrange for meetings, appointments, conferences, and travel. + May set up meetings, seminars, and other special events to include facilities, equipment, and food. + Coordinates the maintenance of files, records, office supplies, or equipment. + May deliver, pick-up, or receive cash payments, documents, supplies, or materials. + May assists management in the supervision of student workers and support staff including processing complex confidential matters. + Performs other duties as assigned. Required Qualifications: + High school diploma or equivalent combination of education and experience. + Four (4) years of related experience + Knowledge of word processing and spreadsheet applications. + Interpersonal and communication skills. + Planning and organizational skills. + Ability to multitask and work cooperatively with others.
