Description About the Role Join one of Southern California’s most dynamic nonprofit organizations as an Events Budget Specialist. This pivotal role ensures the financial integrity of the Center’s largest annual fundraiser by managing event budgets, tracking expenses, and maintaining accurate financial documentation. You’ll work cross-functionally with Finance, Operations, and Special Events to support seamless event execution and responsible stewardship of donor funds. Key Responsibilities + Develop the 2025 Expense Budget using existing templates and historical data; ensure all financial formulas are functioning accurately. + Review and reconcile vendor invoices with precision; coordinate with internal stakeholders and Accounts Payable teams to resolve discrepancies. + Collaborate with the Budget Team to ensure all expenses are correctly categorized using appropriate GL and project codes for accurate year-over-year tracking. + Partner with Finance to resolve coding errors and make necessary adjustments to maintain data integrity. + Enter projected and actual expenses into a comprehensive master budget document, creating tables and detailed notes for clarity—especially with complex, multi-coded invoices. + Process payments via credit card, wire transfer, or check request, adhering to internal compliance standards (PCC). + Maintain organized digital records of all expenses, supporting documentation, and approvals using correct naming conventions and project codes. + Liaise with vendors to collect receipts or clarify outstanding documentation. + Coordinate and participate in budget review meetings with cross-departmental teams to reconcile actuals vs. projections and ensure open communication. + Respond promptly to time-sensitive payment needs in collaboration with the Senior Director of Special Events and Finance. Qualifications + Bachelor’s degree in Finance, Accounting, or a related field—or equivalent professional experience. + Minimum of 3 years' experience in budget management, financial coordination, or a related role. + Valid driver's license and reliable transportation. + Demonstrated ability to work collaboratively and tactfully with internal teams and external vendors. Core Competencies + Solid understanding of accounting principles, GL coding, and budget reconciliation. + Advanced Microsoft Excel skills, including formulas, tables, and financial modeling. + Proficient with tools such as Aestiva, Monday.com, Slack, Outlook, SharePoint, and Microsoft Word. + Exceptional attention to detail and strong organizational skills. + Able to communicate financial data clearly to both finance and non-finance stakeholders. + Comfortable managing tight deadlines and adapting to shifting priorities in a fast-paced, team-oriented environment.
