Job Description Summary

The Brokerage Coordinator plays a critical role in supporting a high-performing brokerage team by managing client service activities, coordinating marketing efforts, and handling complex travel logistics. This position ensures the seamless execution of proposals, presentations, and transactions, while also serving as a key liaison between fee-earners and internal departments. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, deadline-driven environment.

Job Description

Essential Duties and Responsibilities:

Client & Transaction Support

Manage and maintain the pipeline database with accurate deal information in coordination with fee-earners.Provide sales and deal support, including invoicing, entering deal terms into CRM systems, and tracking payments.Organize and maintain transaction documents such as leases, contracts, confidentiality agreements, and closing documents.Abstract leases and draft proposals under the direction of real estate professionals.Compile and distribute periodic landlord leasing activity reports.
 

Marketing & Content Management

Coordinate with Marketing, Research, and Financial Analysts to develop pitch materials and proposals.Create and edit marketing collateral including brochures, flyers, tour books, and event invitations.Manage content creation timelines, production cycles, and ensure accuracy of deliverables.Populate and update template documents and stacking plans as needed.Assist with digital marketing efforts including e-blasts and social media content.

Travel & Administrative Coordination

Coordinate complex travel itineraries for team members, including flights, accommodations, and ground transportation.Schedule meetings, prepare expense reports, and manage calendars for fee-earners.Maintain and update client contact lists and CRM entries.Support onboarding of new team members and assist with general administrative tasks as needed.


Qualifications:

Bachelor’s Degree in Business, Marketing, Communications, or related field preferred.3+ years of experience in a professional services environment; real estate or brokerage experience a plus.Experience supporting executive-level professionals preferred.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Working knowledge of Adobe InDesign, Photoshop, and Salesforce is a plus.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $24.81 - $31.97
