Position Overview:
We are seeking an experienced and detail-oriented Bookkeeper to join our hospitality team. The Bookkeeper will play a key role in managing the day-to-day financial operations of our business, ensuring accurate financial records, maintaining compliance, and supporting the success of our hospitality operations. The ideal candidate has a strong understanding of bookkeeping principles, excellent organizational skills, and experience working in the fast-paced hospitality industry.
Key Responsibilities:
Financial Transactions and Recordkeeping:
+ Manage and record all financial transactions, including daily revenue from bookings, food and beverage sales, and service fees from hospitality operations.
+ Maintain accurate and up-to-date financial records within the general ledger.
+ Process payments to vendors and suppliers in a timely and precise manner.
Accounts Payable and Accounts Receivable:
+ Oversee accounts payable by verifying invoices, coding expenses, and issuing payments to suppliers and vendors.
+ Manage accounts receivable, including tracking guest payments, preparing invoices, and reconciling outstanding balances.
+ Address discrepancies with clients, guests, or vendors professionally and efficiently.
Banking and Reconciliation:
+ Reconcile cash, credit card transactions, and daily deposits from hospitality operations with bank statements.
+ Conduct monthly bank reconciliations to ensure financial accuracy.
+ Monitor cash flow to maintain smooth operations and address shortages promptly.
Inventory and Cost Management:
+ Track food, beverage, and operational inventory expenses to help maintain cost controls aligned with budgets.
+ Collaborate with operational teams to address inventory discrepancies and analyze profitability metrics.
Payroll Support:
+ Assist with payroll operations for hospitality staff, ensuring accurate calculation of wages, tips, bonuses, and overtime.
+ Maintain records related to employee benefits and deductions.
Financial Reporting and Audits:
+ Generate regular financial reports, including profit and loss statements, balance sheets, and cash flow summaries, to support operational decision-making.
+ Prepare required documentation for audits and tax filings, ensuring compliance with all relevant laws and regulations.
Process Improvement and Collaboration:
+ Collaborate closely with hotel, restaurant, and other hospitality managers to align financial management with operational goals.
+ Identify opportunities to streamline bookkeeping processes and improve efficiency using hospitality accounting tools and software.
Requirements
Qualifications:
+ Education: High school diploma or equivalent required; associate’s degree in accounting, finance, or business administration preferred.
+ Experience:
+ 2+ years of bookkeeping or accounting experience required, ideally in the hospitality industry.
+ Familiarity with hospitality operations, such as hotel management systems or restaurant POS systems, is highly desired.
+ Technical Skills:
+ Proficiency in accounting software like QuickBooks, Xero, or hospitality-specific tools like Maitre’D or SkyTouch.
+ Advanced Excel skills for creating spreadsheets, budgets, and financial reports.
+ Solid understanding of accounting principles, including accruals, reconciliation, and budget tracking.
+ Attributes:
+ Exceptional attention to detail and accuracy in financial recordkeeping.
+ Strong communication skills to interact effectively with team members, vendors, and guests.
+ Ability to meet deadlines and handle multiple priorities in a dynamic environment.
+ Discretion in handling confidential financial and employee information.
