Bilingual Receptionist
**Job Title: Receptionist (Bilingual, Spanish)** **Position Purpose** The Receptionist plays a vital role in ensuring smooth and efficient operations within the office. This position provides professional secretarial, clerical, and administrative support to help maintain effective delivery of municipal services. **Position Scope** Reporting directly to the Executive Director, the Receptionist is responsible for supporting daily office functions and serving as a key point of contact for staff, community members, and the general public. Reliable performance in this role is essential to preventing disruptions and ensuring the professional operation of the office. **Key Responsibilities** **1. Office Support & Administrative Services** Ensure daily operations run efficiently by providing comprehensive administrative support: + Answer and route telephone and fax messages professionally. + Direct First Nations members and the general public to the appropriate staff. + Manage incoming and outgoing mail, including date-stamping and distribution. + Maintain organized filing systems for correspondence and documents. + Assist in planning and coordinating meetings, conferences, and conference calls. + Prepare materials and set up for Council and committee meetings. + Maintain inventory and order office supplies as needed. + Draft and format correspondence, memos, and reports. + BE ABLE TO FLUENTLY TRANSLATE SPANISH IN THE WORKPLACE **2. Clerical Support for Office Administration** Assist with general clerical tasks to ensure office productivity: + Maintain accurate and up-to-date filing systems. + Track office supply usage and equipment functionality. + Coordinate maintenance and repair of office equipment. **3. Reception Duties** Serve as the first point of contact for visitors and callers: + Greet and assist visitors, students, and the general public in a professional manner in both Spanish and English. + Answer incoming calls, address inquiries when possible, or redirect calls appropriately in both Spanish and English. + Take accurate messages when necessary and ensure timely follow-up. **4. Executive and Staff Support** Provide direct assistance to the Executive Director and support other staff as needed: + Perform a variety of administrative tasks for the Executive Director. + Assist with projects, scheduling, and communications as assigned. **5. Additional Duties** + Perform other related duties as assigned to support the overall success of the office. + Professionally translate between Spanish and English. **Pay Details:** $18.00 to $20.00 per week Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
