Associate Registrar
Job Title Associate Registrar Agency Texas A&M University - San Antonio Department Office Of The Registrar Proposed Minimum Salary Commensurate Job Location San Antonio, Texas Job Type Staff Job Description The Associate Registrar provides leadership and operational oversight for all student records functions within the Office of the Registrar. This position is responsible for ensuring the accuracy, security, and integrity of student academic records, as well as driving process improvement and efficiency across records, registration, residency, and graduation functions. The Associate Registrar supervises multiple staff members, including Assistant Registrar and Coordinators, and serves as a key liaison to faculty, staff, and external stakeholders. Responsibilities: Leadership and Oversight: + Provide oversight for all student records processes, including registration, records maintenance, residency, and graduation clearance. + Supervise and provide leadership to the Assistant Registrar of Records and Registration, Lead Residency Coordinator, and Lead Graduation Coordinator, as well as student workers. + Promote a culture of service excellence, continuous improvement, and compliance within the Registrar’s Office. + Collaborate with the University Registrar to establish and implement strategic goals and initiatives. Process Improvement and Compliance: + Evaluate current practices and implement process improvements to enhance operational efficiency, data integrity, and user experience. + Under the direction of the Registrar, ensure compliance with institutional policies, federal and state regulations, and accreditation standards (e.g., FERPA, state reporting). + Oversee the creation, maintenance, and implementation of Standard Operating Procedures (SOPs) across student records functions. Communication and Collaboration: + Serve as the primary liaison to Academic Affairs and faculty regarding census day rosters, grade submission deadlines, and related academic record policies. + Collaborate with academic departments to resolve records-related issues and ensure accurate data reporting. + Act as liaison to the President’s Office for commencement planning, coordinating Registrar responsibilities in commencement preparation and execution. + Communicate key dates, deadlines, and policy updates to campus stakeholders to support timely and accurate processing. Leadership of Key Operational Areas: + Provide leadership and oversight for registration management, including add/drop processing, reinstatements, beginning and end-of-term operations, and academic calendar coordination. + Lead the residency verification process, ensuring accuracy and compliance in residency determinations, residency-related communications, and documentation workflows. + Oversee front desk operations, enrollment verification services, and National Student Clearinghouse enrollment reporting to ensure timely and accurate student record management. + Direct graduation operations, including management of graduation applications, degree audits, degree clearance, degree awarding, and diploma production. + Provide leadership for commencement planning and related activities, including graduation communications, graduation fairs, Acadeum registration management, and National Student Clearinghouse graduation reporting. Required Education and Experience: + Bachelor’s degree or higher from an accredited institution. + Minimum of six (6) years of progressively responsible experience in a Registrar’s Office or related higher education setting. Preferred Education and Experience: + Master’s degree in Higher Education Administration, Student Affairs, Educational Leadership, or a related field. + Experience leading process improvement initiatives within a Registrar’s Office. + Familiarity with Jira ticketing systems, DegreeWorks, and related academic records technologies. + Supervisory experience, with demonstrated ability to lead and develop professional and student staff. + Strong understanding of academic records management, registration processes, graduation clearance, and compliance requirements (FERPA, state reporting). + Excellent communication, collaboration, and problem-solving skills. + Proficiency with student information systems (e.g., Banner) and reporting tools.
