Associate Proposals Specialist
**Job Overview:** The Associate Proposals Specialist performs routine assignments in an entry-level role to support the Proposals discipline at McDermott. The role requires conceptual knowledge of the Proposals discipline's theories, practices, and procedures. **Key Tasks and Responsibilities:** + Maintaining the database of bid submissions such that documents can be retrieved and reproduced, if required, on demand. + Compiling & Maintaining McDermott’s track record database in terms of details of project executed for use on future bids and pre-qualification exercises. + Maintaining and keeping McDermott details updated such as facility details, resumes of Key Personnel, Brochures etc. to use in the bids. + Download Instruction to Tenders (ITT) documents from Client Sites/ Media Disks and upload the same to McDermott’s SharePoint. + Review Client ITTs and identify Technical Bid requirements. + Prepare Table of Contents, as per the requirements of ITT for Technical Bid Submission and assign deliverables to Bid Team. + Structure and format the submission documents as per ITT requirements. + Facilitate and coordinate with all functions for their respective inputs on technical submission documentation + Compile the Bid for Submission to the Client and ensure timely submission of hard copies or if required perform e-upload of documents to Client specified websites + Create, structure and manage the SharePoint sites for tenders and provide access control to users. + Compiling & Maintaining all Technical & Commercial clarifications and qualifications received during and after bid submission for reference during job execution. + Maintaining the history of bid ITT’s electronically for future references and archive old data in line with McDermott’s data retention policy. + Strong Organizational skill with the ability to plan and execute the proposal development and provide support to Proposals Specialists as required. + Identification of Clients’ Technical requirements from the ITT’s + Be highly trustworthy; Be level headed and calm in stressful situations while handling confidential data and correspondence with Clients + Record keeping, Filing and data archiving. + PC proficiency in software applications like MS Word, Excel, Power Point, ABBY Fine Reader, Acrobat, etc. + Provide departmental strategic initiatives and support the monthly Proposals Key Performance Indicators (KPI) reporting process to EXCOM + Review and understand the ITT/ITB (Invitation to Tender/Invitation to Bid) requirements + Draft Summary of Tender Documentation (SoTD) for review and distribution + Support Proposals Specialists with preparation and timely submission of all assigned tenders + Ensure deliverables are successfully achieved for bid submission + Coordinate with Proposals Manager on workload and resource allocation + Coordinate to ensure that proposals are accurate, complete, and easy to understand + Ensure that all business developments and administrative work is kept up-to-date and complete + Manage bid delivery meetings, review process, presentations, and associated actions **Essential Qualifications and Education:** + Bachelor’s degree in relevant discipline, Engineering a plus + 1-3 years of relevant experience + Excellent verbal and written communication skills + Strong, positive interpersonal skills + Accuracy and attention to detail + Strong organizational skills and presentation skills + Ability to work under pressure and meet deadlines + Proficient in standard office software (i.e., Microsoft Office) + Ability to work independently and as part of a team \#LI-RA2 Our ingenuity fuels daily life.
