Job Description:
This position is responsible for managing and maintaining the marketing platform at Agency Ingram Micro. She/He ensures timely resolution of marketing-related cases, adheres to SLA requirements, and performs various operational and transactional tasks. Her role includes supporting marketing managers through case management, onboarding, billing, sales order creation, WBS setup, supplier payments, claims coordination, and troubleshooting. She/He also provides proactive solutions to address issues across all marketing functions, ensuring efficient and comprehensive support.
Major Responsibility: Podio Operations & Claims Support
Supporting Actions:
Accountable in management of the marketing platform used in Agency Ingram Micro.
Resolve and close marketing-related cases using available tools, ensuring compliance with SLA and SOPs.
Address the request based on required SLA and documented process flows.
Perform regular operational and transactional tasks, including:
Podio Case Management
Credit Rebill and Amendment
Help Desk (Onboarding New Client/WBS/SKU/Vendor/Suppliers/Access to Workspace)
Billing of Marketing Activities
Sales Order Creation
Work-Breakdown-Structure (WBS) Creation
Podio troubleshooting
Suppliers Invoice Payment (PR/PO/GR)
Reviewing and uploading of POE and marketing materials
Claims & Invoice Coordination
Provides proactive measures and solutions for any issues, concerns, or enquiries pertaining to all marketing functions, including the platform and its use.
Major Responsibility: Marketing Operations
Supporting Actions:
Associate must respond to calls and inquiries from in-country partners within the defined service level parameters who require information pertinent to any marketing executions. Provide solutions / proactive measure to issues, concerns encountered, or any technical problems experienced.
Assists in addressing In-country counterparts submitted queries for quicker cases resolutions by coordinating with the different departments, subgroups within Agency Ingram Micro (AIM) and Marketing Accounting Team if necessary. Manages and monitors marketing activities and contracts, including Help Desk tickets in a timely manner. Preparing of activity reports whenever necessary.
Identifying effective solutions and offering real-time assistance to all campaigns and program executions which may or may not be limited to SAP and marketing tools.
Process requests which require securing and managing of all internal and external documents/communications based on business requirements.
Manage mailbox tagging and email spot checks to ensure accuracy and completeness.
Create and maintain Standard Operational Procedures to ensure accuracy.
Document all tasks done daily through internal trackers and logs to ensure comprehensive monitoring of associate's productivity is in place.
Qualifications:
Graduate of a 4-year course with minimum one-year applicable job experience; Degree may be substituted for up to 2-3 years of experience in similar process environment.
Strong analytical skills with the ability to analyze complex processes and identify areas for improvement.
Exceptional communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels.
Should be knowledgeable in other software/tools such as: SAP, Podio, Web based Software/tools.
Should be proficient in Microsoft Office tools.
Basic knowledge of billing, budgeting and financial tracking.
Capable of handling sensitive information and with discretion and confidentiality.
