Role Overview

This role sits within our Finance division within the Brokerage and Investigations department, in Louisville, KY.

The primary responsibility of the Brokerage and Investigations department is to support the core business for the administration of brokerage rates for the Global Broking group in Europe. The department is composed of three key closely related functions. All team members are cross-trained to perform these functions:

Fee schedule documentation

Fee entry into the database

Customer query investigations

This is a client facing role where you may interact directly with clients on brokerage related queries.

Role Responsibilities

Fee Schedule Documentation

Work closely with our businesses and other functions (e.g. CRM and Pricing Teams) to document brokerage terms for new & existing clients

Ensure that the documentation is validated and distributed to our clients and business as appropriate.

Ensure that the documentation is then managed through the remaining workflow, to ensure accurate brokerage data management within our systems.

Ensure that the documentation is accurately stored, such that it can be retrieved as and when necessary.

Fee Entry into the Database

Responsible for the translation of the fees detailed in the brokerage agreements, into the relevant brokerage data systems, for all relevant products.

Input brokerage fees in the relevant systems for new/ amended rates and discounts.

Perform 4/6 eyes checks for the new rates input and regular ad-hoc checks on discounts and rates to ensure reliability of our data.

Suggest technical enhancements to the systems and work towards centralisation of the brokerage rates.

Customer Investigations

Ensure the effective and efficient management of trade investigations raised by clients following the review of their invoices, liaising with appropriate departments to solve them.

Perform the brokerage checks requested by the audit.

Track and analyse the transactions where brokerage has been input manually.

Suggest improvement to the systems and processes.

Design and implement reconciliations and MI/KPIs to support our business and evidence controls

Create manual invoices, as appropriate, ensuring that the relevant checks and controls are in place (e.g. SEF invoices)

Experience / Competences

Essential

Must be legally eligible to work in the US

Outstanding customer/client service

Willingness to learn in a fast paced environment

Excellent work ethic - highly organised with a proactive approach

Ability to think outside the box to resolve client queries and improve processes

Excellent attention to detail

Intermediate MS Office skills, including Outlook, Word, Excel etc.

Desired

Basic knowledge of the financial markets

Basic knowledge of client data structures and models

Interest in process documentation and alignment across business lines and entities
